Summary The position is located in Tampa VA Healthcare System, under Credentialing & Privileging (C&P) Office. The incumbent is an integral member of the C&P Team and provides specialized administrative support for the healthcare system's medical staff and C&P program. Incumbent is the primary point of contact for all communications flow within C&P and specifically credentialing and privileging and associated regulatory affairs. Responsibilities Duties Include: Provide administrative support for the healthcare system-wide Credentialing and Privileging Program. Support the healthcare system-wide Medical Executive Council, subcommittees, workgroups, and teams. Support program staff in the preparation and completion of specialized reports. Develop meeting calendars, coordinate agendas, prepare and maintain minutes. Assure that all required committee documents and formal reports are prepared. Serve as a liaison to the C&P subject matter experts (SME) throughout the Service and healthcare system. Ensure the program meets the required due dates and timelines for project submission. Coordinate activities pertaining to Accreditation and Survey planning. Assist with the preparation of site visit agendas, and make required contact with the survey team. Review survey recommendations, noting deficiencies, and tracking corrective actions. Maintain/update SharePoint information and training calendar. Schedule appointments, coordinates meetings, and/or schedules conferences for staff. Coordinate healthcare system-wide events. Perform data collection, tracking, and analysis of statistical information. Analyze and compiles informative data regarding programs. Facilitate new hire orientation for staff.. Assist with the distribution and completion of new employee orientation. Acts as a primary point of contact and resource for new staff. Coordinate support functions required for the C&P programs to function efficiently and effectively. Work Schedule: 7:30 am to 4:00pm Telework: Not eligible for Telework. You must be able to type at least 40 words per minute Qualifications To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 01/23/2025. Typing Proficiency: In addition to meeting experience or education requirements, applicants must be able to type at least 40 words per minute. Applicants may meet these requirements by passing the appropriate performance test, presenting a certificate of proficiency from a school or other organization authorized to issue such certificates by the Office of Personnel Management local office, or by self-certifying their proficiency. Performance test results and certificates of proficiency are acceptable for 3 years. Agencies may verify proficiency skills of self-certified applicants by administering the appropriate performance test. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS 06 position you must have served 52 weeks at the GS 05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment. You may qualify based on your experience as described below: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS 05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Providing administrative support; creating, processing and/or tracking personnel actions. Arranging meetings, taking notes and meeting minutes. Working with internal and external customers. NOTE: Experience must be fully documented on your resume and must include job title, duties, month and year start/end dates AND hours worked per week. You will be rated on the following Competencies for this position: Clerical Communications Computer Skills Manages and Organizes Information Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment. Physical Requirements: This position is mostly sedentary involving sitting at a desk, workstation, or meeting table. The incumbent works with a computer screen and keyboard. Physical effort may be required when transporting ordered materials or coordinating physical space moves. The work also involves some standing; bending and reaching; manual dexterity, including typing and managing paper forms; filing paper and folder documents; use of a computer/keyboard and driving a golf cart or automobile on the campus. There may be a certain amount of mental strain due to time constraints and frequent reviews and surveys by outside entities; therefore, mental concentration is essential to meet crucial deadlines, and ensure efficiency. The position may require foot travel around the Healthcare System buildings/campus, or vehicle travel to off-site CBOCs or clinics.
