Robert Half Administrative Assistant in Tampa, Florida

Description

Overview: We are seeking a reliable and detail-oriented Administrative Assistant to join our team on a part-time basis. The ideal candidate will provide administrative support to project managers and ensure smooth day-to-day operations by handling data entry, communication with clients, and organizing project-related files.

Key Responsibilities:

  • Client Communication: Receive an average of 2 calls per week from clients and ensure all relevant details are logged accurately. Most clients will contact project managers directly, but follow-ups and clarifications may be required.

  • Data Entry & Organization: Input and maintain project details in Google Drive for project managers, ensuring accurate and up-to-date records.

  • Purchase Order Management: Request and track purchase order numbers (PO #'s) from clients via email once jobs are completed, and follow up on any missing information.

  • Receipt Management: File receipts from Home Depot and other vendors in an organized manner for project tracking and reporting.

    Requirements

Required Software Skills:

  • Google Drive (Plus): Must be comfortable with using Google Drive for document management, organization, and collaboration.

  • Spectrum (Job Viewing Software): Experience with Spectrum is a plus, but the software is easy to learn.

Ideal Candidate Background:

  • Previous experience in administrative support, ideally within the construction industry.

  • Strong organizational skills and attention to detail.

  • Comfortable with basic data entry and maintaining accurate records.

  • Excellent communication skills (both written and verbal).

Soft Skills & Work Environment:

  • Ability to adapt to a dynamic and fast-paced environment.

  • Self-starter with a strong work ethic and positive attitude.

  • Ability to collaborate effectively with project managers and other team members.

Bonus Experience:

  • Previous experience in the construction industry is preferred, but not required.
