We are seeking a highly organized and detail-oriented Administrative professional with experience in QuickBooks, bookkeeping, and accounts receivable/accounts payable. In this role, you will be responsible for overseeing daily administrative tasks while maintaining accurate financial records. Key responsibilities include managing A/R and A/P processes, reconciling bank accounts, generating invoices,and processing payments. You will also provide general office support, handle customer and vendor communications, and ensure the smooth operation of administrative tasks. QuickBooks skills, attention to detail, and the ability to manage multiple tasks are essential for success in this role.

salary: $20 - $23 per hour

shift: First

work hours: 8 AM - 4:30 PM

education: High School

Responsibilities

  • General Office Support: Answer phones, respond to emails, manage calendars, and schedule appointments.

  • Record Maintenance: Maintain organized filing systems for financial records, receipts, invoices, and contracts.

  • Document Preparation: Draft and edit correspondence, reports, and other documents as needed.

  • Customer/Vendor Communication: Handle inquiries and provide customer support, resolving issues related to payments and invoices.

  • Data Entry: Ensure accurate entry of financial and operational data into QuickBooks and other databases.

  • Prepare and send out invoices to customers.

  • Monitor incoming payments and post them to the appropriate accounts.

  • Follow up on overdue payments and manage collections.

  • Review and process vendor bills and payments.

  • Reconcile A/P transactions and maintain accurate records of all payments.

  • Ensure timely payment of invoices to avoid late fees or penalties.
