The Work You Will Do :

The Division of State Lands, as Florida’s lead agency for environmental management and stewardship, serves as staff to the Board of Trustees of the Internal Improvement Trust Fund (Governor and Cabinet). As such, the division’s role goes far beyond just acquiring lands for protection. It provides oversight for the management of activities on more than 12 million acres of public lands including lakes, rivers and islands. These public lands help ensure all Florida’s residents and visitors can truly appreciate the state’s unique landscapes.

The Difference You Will Make :

This section handles the administrative support for the day-to-day operations in DSL. This includes all procurement activities as well as some organizational support and other miscellaneous assignments. A few examples are as follows: purchase orders, invoice payments, contracts and task assignments, travel authorization and reimbursement, purchasing-card guidance and reconciliation, recurring payments, phone support, wireless reporting, organizing Division activities, employee awards, ordering office supplies and equipment purchases.

    Your Specific Responsibilities :

    Provides administrative support to division staff to include but not limited to:

  • Preparing travel documents for staff and assisting travelers with all travel-related matters, including P-card transactions.

  • Maintaining par stock for supply room, ordering requested supplies, and maintaining copiers and supplies for copiers.

  • Serving as backup to answer division main phone lines as needed, answering telephone calls in a professional, courteous and effective manner and accurately transmitting information to the appropriate staff; receiving and distributing mail; shipping packages; making room and conference phone line reservations. Providing file research and records retention support.

  • Providing assistance with documents in both electronic and paper formats, including prepping and scanning files.

  • Providing assistance with workspace and equipment needs and assisting staff with property inventory tracking.

  • Providing assistance with DMS work order submissions by sending work orders to DMS maintenance crew for repairs and issues as needed.

    Performs other duties and special projects as assigned to include assisting with coordinating and maintaining the Appraisal file room contents and documents in both electronic and paper formats and prepping and scanning files.

    Perform other assigned duties as needed.

    Required Knowledge, Skills and Abilities:

    Knowledge of:the principles and techniques of effective communication; the methods for organizing and presenting data.Skill in:using a computer with MS Office Applications including Outlook. Ability to:collect, record and analyze data relating to records or operational procedures; utilize problem-solving techniques; prepare reports; make decisions in a timely manner; understand and apply applicable rules, regulations, policies and procedures; plan, organize and coordinate work assignments; handle telephone calls in an effective and courteous manner; communicate effectively; establish and maintain effective working relationships with others; demonstrate teamwork; maintain a valid driver’s license.

  • Vendor invoice responsibilities, Chapter 215.422, F.S.

  • The schedule for this position is Monday through Friday, 8:00 AM to 5:00 PM, with breaks and a one-hour lunch.
