The Administrative Assistant will support the business operations of the project management division. They will work closely with Project Managers and assist the Senior Director in implementing and coordinating activities and programs that align with the successful execution of the project management business plan.

Here’s a snapshot of your day:

  • On-boarding contractors into the finance system and ensuring compliancy

  • Tender/Bid/Renewal support as required

  • Monthly invoicing

  • Creating purchase orders for contractors

  • Manging contractor invoices and payments

  • General ad-hoc requirements

  • Preparing detailed reports and presentations for finance

  • Maintain information registers to support business operations

  • Participate and control contract audit program

  • Administer account financial and operational reporting and action plans

  • Effective communication and information cross flow within project team including actively contributing to problem resolution

The Ideal Candidate

  • (ESSENTIAL) Strong experience in Administration role

  • (ESSENTIAL) Working knowledge of purchase orders, invoicing and associated admin.

  • Ability to manage multiple complex assignments.

  • Strong computer skills with common applications (E.g. MS Office).

  • Strong organization and prioritization skills, with strong attention to detail.
