       License and Certification Qualifications: None required.Education Qualifications: High school diploma or equivalent required. Bachelor's degree in related field preferred.Experience Qualifications: Ten years administrative assistant or equivalent acceptable experience required.Skills Qualifications: Ability to type and perform clerical duties with a high rate of speed and accuracy; competent technology skills in word-processing, graphics, and spreadsheets with experience using Lotus Notes, PeopleSoft, and Microsoft Office; ability to record and issue meeting minutes; strong mathematical skills; ability to follow oral and written instructions quickly and accurately; ability to detect and correct errors in standard English language usage; ability to scan documents for editing and read-only; excellent telephone and public relations skills; ability to manage several large projects at any given time; knowledge of state and local governmental operations; ability to analyze existing processes and identify areas for improvement; ability to act as a representative of Gwinnett County Public Schools; and ability to work across functional boundaries and interact with employees at all levels of the organization.Primary Responsibilities: Provide executive administrative support to the Associate Superintendent, School Improvement and Operations in the School Improvement and Operations Division.1. Perform general administrative support duties for the School Improvement and Operations Division.a. Maintain an accurate calendar and ensure supervisor is informed of schedule.b. Prepare agenda items for monthly Board meetings and enter correspondence into BoardDocs.c. Prepare various notes/minutes, letters, reports, work orders, memos, and purchase orders as needed to maintain the efficient and effective operation of the office. d. Develop spreadsheets, graphs, charts, and presentation documents.2. Perform general clerical duties for the School Improvement and Operations Division.a. Organize and maintain files and records for the division.b. Operate various office machines including, but not limited to, copiers, and computers.c. Order supplies as needed to ensure the efficient and effective operation for the division.d. Organize and maintain division office software and reference materials.3. Perform general financial and accounting duties.a. Maintain ledgers, books, financial, and other records accurately and timely.b. Calculate and prepare financial accounting, inventory, and other reports.c. Assist with annual budget development.4. Communicate with other people in a businesslike, courteous, and efficient manner.a. Act as the division receptionist both in person and over the telephone.b. Ensure that correspondence and other documentation sent from the office conforms to standard English usage.c. Route incoming and outgoing correspondence accurately.5. Supervise the operation of the divisional office.a. Assign work to other secretarial or clerical personnel as directed.b. Monitor materials produced by other personnel to ensure accuracy, timeliness, and conformity to system standards as directed.c. Train other personnel and any student personnel in the efficient and routine operation of the office as directed.6. Cooperate with and maintain a positive relationship with other divisional/school system employees.7. Assist with new projects as assigned.8. Perform other duties as assigned. Physical Demands:While performing the duties of this job, the employee is frequently required to sit for extended periods of time. The employee is also required to talk, hear, stand, and walk. The employee may be required to use hands to touch, handle, feel, and/or reach. The employee is occasionally required to stoop, kneel, or crouch. The employee must occasionally lift and/or move up to 25 pounds.
