The Purchasing and Dock Logistics Manager is responsible for coordinating and managing the overall Purchasing & Receiving functions for The Lodge at Spruce Peak, The Club at Spruce Peak, and Stowe Country Club, implement and operate the F&B Storeroom operations for The Lodge and facilitating dock operations for the property as a whole.

Assist the Finance and Operational Departments in the controlled procurement, receipt, control and disbursement of goods, monitoring, reporting of cost of sales, inventory management. Working with operational teams to improve their cost of goods.

Reporting to the Director of Finance, you will establish operating procedures and ensure that all hotel departments have adequate supplies to perform their duties in an efficient manner. You will actively consult with members of the team to enhance cost effectiveness and maintain quality standards.

Having direct responsibility of the dock, you will coordinate oversight of all incoming / outgoing movement and distribution of products and services within the building. This includes scheduling deliveries and services, managing the waste stream (oil, compost, refuse and recycle), coordinating deliveries with other departments for owners, coordinating vendor movement with security, managing incoming and outgoing mail, prepare outgoing shipment as required, and general upkeep of the dock.

The Storeroom is a full responsibility of purchasing, storing and disseminating goods for the food and beverage department.

This role will require a flexible schedule in order to accomplish all major responsibilities, and you must be willing to work early mornings, evenings, and weekends/holidays as needed. Successful candidates must demonstrate strong attention to detail and organization skills in order to oversee daily operations. In addition, they will also possess in-depth knowledge of procurement and inventory systems.


  • Ensures compliance with policy and procedures.

  • Oversees and directs all purchasing, receiving & F&B storeroom staff.

  • Monitor vendors for quality, service and price through standard purchasing specifications.

  • Ensures compliance with all legal, health, and safety regulations.

  • Ensures that all orders are properly received per policy in the hotel systems.

  • Ensure the efficient operation of the Purchasing Department in all aspects.

  • Research and identify new products and services for the hotel.

  • Responsible for all administrative functions of the Purchasing & Receiving Department, staffing, training and execution of other related duties.

  • Handles invoices, purchasing and related accounting issues and performs monthly reconciliations of receiving records and outstanding records.

  • Responsible for overseeing the physical control and organization and cleanliness of the hotel food and beverage storerooms and the main loading dock.

  • Responsible for maintaining logical storeroom inventory levels operationally needed.

  • Willing to work a flexible schedule in order to accomplish all major responsibilities and tasks.

  • Ability to evaluate menu costs and potentials vs. actual.

  • Analyze cost control reports and makes recommendations for improvements.

  • Ensures compliance with all dock policies in term of waste management.

  • Manage the dock cleanliness and effectiveness.

Any other related and purchasing/storeroom/dock management responsibility assigned by the Director of Finance.


  • Two years or more of relevant experience preferred

  • Strong communication and interpersonal skills

  • Technology and system savvy - Birchstreet knowledge preferred

  • A true desire to satisfy the needs of others in a fast-paced environment.

  • Motivated, energetic and positive personality

  • Receiving: ability to lift, push, pull up to 75 lb

  • Ability to be certified on the use of materials handling equipment such as electric pallet jack.

  • Ability to work in harsh condition (freezing temperature, rain, …).

  • Ability to drive vehicle.

The successful candidate will meet the following criteria,

  • Demonstrate experience as purchasing manager or assistant with expertise in the Hotel and Catering industry

  • Strong leadership, communication, interpersonal skills

  • Motivated, energetic and positive personality

  • Well experienced in procurement efforts

  • Ability to implement process across multiple departments, and enforce them.
