Stony Brook University Assistant Director, Graduate Programs in Stony Brook, New York

Required Qualifications (as evidenced by an attached resume):
Bachelor's degree (foreign equivalent or higher). Two (2) years of full time related administrative experience in a college or university setting (student work experience may be considered). Experience speaking to large and diverse audiences.
Proficient, professional experience in word processing, spreadsheet management, electronic messaging, and internet applications (Microsoft Word, Excel, PowerPoint, Google Apps, etc.).Preferred Qualifications:
Master's degree (foreign equivalent or higher) in business, higher education, or a related field. Academic advising, admissions, or student services experience. Experience working with PeopleSoft. Experience working with Slate or another online application management system. Experience coordinating programs and events. Brief Description of Duties:
The Assistant Director of Graduate programs will be responsible for managing the graduate College of Business Programs. The main functions of the role will be rendering admissions decisions as well as academic advising and academic success of the students from admissions through graduation. Incumbent must possess outstanding written, verbal, and interpersonal communication skills. Experience successfully working independently as well as part of a team with a collaborative approach to problem solving. Strong organizational and time management skills with exceptional attention to detail.Duties:

  • Admissions and Recruitment:
    • Manage the College of Business graduate admission process.
    • Process and review Graduate CoB applications. Incumbent will prepare student admissions files, review, and make determination on whether admissions criteria is clearly met; if a clear decision, incumbent has authority to render decision, borderline candidates will go to the appropriate committee for review and decision.
    • Maintain application information for data tracking.
    • Communicate admissions decisions in a timely manner and work to complete applicant files to improve yield.
    • Work effectively with the Graduate School and Visa and Immigration Services to admit students and obtain student visas.
    • Responsible for on-campus and virtual recruitment. This includes information sessions, open houses, and admissions presentations with our campus. Will attend off-campus events as needed.
    • Administrative setup of new and continuing programs - internal & external procedures, Slate & BUSCas systems.
    • Act as the CoB liaison with the Graduate Health Science Admissions department .
  • Student Success & Retention:
    • Provide student centered advising, serving as a one stop office for all needs and helping students to navigate the large University as needed.
    • Inform students of and oversee graduate registration procedures.
    • Communicate with and advise prospective and current students across all graduate programs including MBA, MS in Finance, MS in Accounting, and MSTM, providing full student service support to those recruited from application through graduation and beyond.
    • Advise students on a range of topics, including academic schedule and course selection, choice of and requirements of major, and post-graduation plans. Counsel students on policies. Monitor students' progress toward degree.
    • Using databases such as Tableau and SBU Reporting, regularly analyze trends in student enrollment and registration and make recommendations to the Director of Student Services to better serve the students.
  • Program Coordination:
    • Process graduate forms which include: change of program requests, leave of absences, course retakes, readmissions, time limit waivers, retroactive add/drop forms and withdrawals for CoB Graduate students.
    • Responsible for processing degree clearances for all CoB graduate programs.
    • Oversee Management of Graduate Records: Create and manage databases for student information such as graduation and retention rates, alumni tracking and internship.
    • Compile, correlate, and report statistical admissions and enrollment information for accreditation and university administration.
  • Program Development and Event Planning:
    • Participate in the University and College of Business Commencement programs and other programs related to the betterment of student life in the graduate programs.
    • Responsible for executing MBA/MS orientations in the Spring and Fall.
    • Work on developing communications to assist with student engagement, recruitment, and retention for a range of platforms, social media, website, CoB Brightspace organization, email, etc.
  • Other duties or projects as assigned as appropriate to rank and departmental mission.


Special Notes:
This is a full-time appointment. FLSA Exempt position, not eligible for the overtime provisions of the FLSA.
