Stony Brook University Administrative Coordinator in Stony Brook, New York
Required Qualifications (as evidenced by an attached resume):
Bachelor's degree (foreign equivalent or higher). In lieu of the Bachelor's degree (foreign equivalent or higher), an Associate's degree (foreign equivalent or higher) and two (2) years of full time administrative experience may be considered. Two (2) years of full time administrative experience.
Preferred Qualifications:
Five (5) years of full-time administrative experience. Experience working in an academic medical center. Experience working with Microsoft applications.
Brief Description of Duties:
The Staff Assistant will be responsible for managing all aspects of the Assistant Dean's affairs. The applicant must have excellent computer skills and demonstrated ability to multitask.
Duties:
- Responsible for managing all fiscal accounts, commitments and transactions related to the Assistant Dean's (AD) role within the RSOM. Assists with the fiscal planning and preparation of the AD's projects and budget requests; both state and research funds. Reconciles all accounts.
- Assists in the preparation and submission of grant applications, reports and IRB submissions. Assists with Research Compliance, managing MTA's, gathering and analyzing data and adhering to deadlines.
- Supervise and oversee personnel transactions for students, (Graduate Assistants, Student Assistants, Research Assistants); scheduling trainings, retreats, meetings, organize travel arrangements, mentorship matches, coordinate lab research assignments, and act as a liaison with RSOM faculty and RSOM leadership.
- Work to create enrichment activities for students involved in pipeline programs and initiatives.
- Other duties or projects as assigned as appropriate to rank and departmental mission.
Special Notes:
This is a full time appointment. FLSA Non-exempt position, eligible for the overtime provisions of the FLSA.
