The Research Foundation for The State University of New York at Stony Brook Accounts Payable Coordinator in Stony Brook, New York

Required Qualifications (as evidenced by an attached resume):
Bachelor's degree (foreign equivalent or higher) with experience in accounts payable, accounts receivable and/or related fields. In lieu of the degree an Associate's degree with two (2) years of full-time related experience in accounts payable, accounts receivable and/or related fields or a Highschool diploma/GED and four (4) years of full-time related experience will be considered. Experience working in a higher education setting.
Preferred Qualifications:
Bachelor's degree (foreign equivalent or higher) in Accounting, Finance or related field. Accounts Payable experience in PeopleSoft, Concur, Concourse Eras and AvidxChange. IRS 1099 and 1042S tax transactions review and reporting experience. Brief Description of Duties:
The Stony Brook Foundation (SBF) seeks a motivated self-starter for its Accounts Payable team. The selected candidate will have the ability to work independently in a high-volume deadline driven environment. They will also need to effectively and professionally communicate with faculty, staff, and external vendors in order to complete assignments. This position requires both excellent communications and strong math skills.

  • Receive, sort, organize and ensure timely generation and sending of invoices, payments, receipts and any other financial documentation. Update, maintain, and ensure data entry is accurate and up-to-date in PeopleSoft, AvidxChange and OnBase for all transactions. Assist with daily Concourse and Concur related transactions.
  • Handle inquiries from various Stony Brook University departments, vendors and partners to resolve discrepancies and issues. Set up, maintain and update contact information for vendors and customers.
  • Ensure compliance with all relevant accounting regulations and standards such as GAAP and IRS Regulations Assist with audits by providing necessary documentation and supporting materials. Maintain detailed records to support internal and external audits.
  • Coordinate with other departments to ensure smooth financial operations. Support the AP team with various projects as needed. Support the AP with general administrative tasks as needed. Assist in month-end and fiscal year-end closing processes.
  • Other duties as assigned.
