Job Description

The Executive Assistant I provides comprehensive, high-level administrative support to the Deputy Chief of Staff, and general support to the Guest Engagement & Protocols Director and Executive Assistant II in the Division of University Strategy/Office of the President.

This role requires exceptional time-management skills, attention to detail, professionalism, and skill in assessing priorities, focusing on high-impact tasks, and adapting quickly to changing needs to ensure timely, effective outcomes.

Position is in-office located in Stephenville, Texas with work hours of Monday to Friday from 8AM to 5PM or as work requirements indicate which may include occasional afterhours, evenings, and weekends.

Must be able to work remotely at the request of the University.

Key Responsibilities:

Calendar Management

  • Coordinate and manage the Deputy Chief of Staff’s calendar including scheduling meetings, appointments, and events in coordination with the Office of the President.

  • Provides assistance to the Executive Assistant II in the Division of University Strategy/Office of the President in managing multiple calendars and scheduling coordination with executives.

Confidentiality and Discretion

  • Ensure all matters are executed with the highest confidentiality and professionalism, exercising sound judgment in managing sensitive information.

Operational Support

  • Manages purchasing activities for the executive office, including procuring supplies and services as needed, ensuring compliance with institutional procurement policies.

  • Maintains accurate fiscal records, monitors expenditures, processes invoices, and reconciles budgets to support effective financial oversight and reporting.

Project Coordination

  • Track, coordinate, and monitor action items, projects, and initiatives on behalf of the Deputy Chief of Staff, ensuring coordination, timely follow-through, and completion.

  • Assist the Guest Engagement & Protocols Director with event-specific action items to ensure timely completion.

  • Plans and coordinates logistical and administrative support for events, meetings, or other special functions and provides on-site support.

Travel Coordination

  • Arranges travel for the Deputy Chief of Staff and Guest Engagement & Protocols Director, including accommodations and transportation.

  • Prepares travel itineraries and ensures all necessary arrangements are in place.

  • Processes travel reimbursement and expense reconciliation in a timely manner.

Special Assignments

  • Support the Deputy Chief of Staff on special projects and ad hoc tasks, adjusting to evolving needs and priorities.

  • Researches, compiles, and applies information, making evaluative judgments on appropriate data to include.

Education and Experience:

  • Bachelor’s degree in applicable field or equivalent combination of education and experience.

  • Three years of related experience.

Knowledge, Skills, and Abilities:Knowledge of word processing, spreadsheet, and presentation applications.Ability to multitask and work cooperatively with others. Interpersonal and communication skills. Planning and organizational skills.

Salary Range

Commensurate with experience

The target base annual salary range is $44,000 to $55,550.50 and may be negotiable based on funding availability and candidate experience/skillset in relation to the minimum requirements of this position.
