As our Executive Administrative Assistant, you’ll provide essential administrative support to our Data Analytics team and executive-level support for the department Vice President. We’re looking for a proactive coordinator who can anticipate and solve challenges before they arise, ensuring our team operates smoothly. If you are detail-oriented, eager to learn the ins and outs of a large multi-national corporate environment, and passionate about making even the most challenging requests seem routine, this role is perfect for you!

  • Schedule and coordinate meetings, both internal and external, ensuring all necessary resources and logistics are managed ( i.e., scheduling meetings rooms, coordinating food)

  • Collaborate with stakeholders to organize team-building activities and social events

  • Assist the digital team in processing purchase orders, ensuring accuracy and adherence to company policies

  • Maintain a comprehensive record of all purchase orders, invoices, and P-Card receipts

  • Collaborate with teams to reconcile any discrepancies and resolve payment-related issues

  • Effectively onboard contractors by coordinating the necessary paperwork, obtaining security badges, and ensuring access to required systems and tools

  • Manage IT peripherals and back-stock inventory for the digital team and IT on-site support, ensuring availability of necessary equipment and supplies

  • Identify opportunities for process improvement and suggest innovative solutions to enhance team efficiency

Requirements

  • High school degree/GED equivalent plus 5+ years of professional experience as an executive assistant at a large organization with 1+ of those years supporting one or more top-level executives OR Bachelor's degree plus 3+ years of experience in executive and/or administrative support

  • 1+ year of experience working with the Microsoft Suite, including Outlook, Word, Excel, Teams, and PowerPoint

The approximate pay range for this position is $63,000 to $100,000. Please note that the pay range provided is a good faith estimate for the position at the time of posting. Final compensation may vary based on factors including but not limited to background, knowledge, skills, and abilities as well as geographic location of the position.
