IFF is seeking a highly motivated individual to work with leadership and personnel located at the St. Louis, MO site. The successful candidate will be part of R&D / Enabling Technologies to support various business problems and research programs. In this role, close collaboration with cross-functional colleagues in a joint office / laboratory site - supporting principals & extended site management, as well as individual-contributor scientists, engineers, and business professionals. The successful candidate should be adaptive & self-motivated, with a passion for people, and thrive in a team environment. The position will be located at the IFF site in the Cortex Innovation District in the Central West End of St. Louis. Please note that this position is office-based and primarily in-person with an emphasis on work/life balance, with some remote work by exception.
Responsibilities:
Provide general support to site visitors, including facilitating meetings & conference room infrastructure, catering & reservations
Organize and schedule calendars for site leadership and site-level meetings
Handle sensitive information in a confidential & professional manner
Partner with other local and regional administrative staff by pooling information, educational opportunities, and growth opportunities
Carry out administrative duties such as filing / scanning, etc.; booking transportation / couriers / etc.; travel arrangements for senior managers; submit & reconcile financial documents & expense reports
Develop and maintain office filing systems both paper & digital; assist in budgeting & reporting
Work with HR and managers for new employee recruitment, interviewing, hiring & onboarding support
Provide site support by answering questions & requests, directing to HR/leadership/etc as appropriate
Active supplies inventory – checking, anticipating, expediting orders, verifying receipt
Maintain professional and technical knowledge by attending educational workshops, digital & virtual training, establishing personal networks, company training & development
Contribute to team efforts & site culture by accomplishing related engagement as needed - implement administrative processes in partnership with leadership, employee committees

Job Requirements:
Proficient with Microsoft Office
Outstanding customer service skills
Strong organizational and interpersonal skills
Articulate English-language verbal and written communication capabilities
Ability to manage multiple priorities with interruptions – time management
Previous work experience in an office or professional setting
High school diploma or equivalent
Preferred:
College Degree, Associate’s or Bachelor's
Digital and data skills
