Description
PeaceHealth is seeking a Administrative Assistant for a Full Time, 1.00 FTE, Day position. The salary range for this job opening at PeaceHealth is $22.70 – $34.04. The hiring rate is dependent upon several factors, including but not limited to education, training, work experience, terms of any applicable collective bargaining agreement, seniority, etc.
Job Summary
Responsible for providing administrative support for one or more manager/director. Responsible for facilitating the efficient and smooth operation of the department in accordance with approved regulatory, quality and department standards. Utilizes communication, software and research skills to support the organization and leaders.
Essential Functions
Provides daily administrative support to the leaders of the department. Duties may include: fielding telephone calls; calendaring; receiving and directing visitors; word processing; filing; faxing; program and project support.
Facilitates work flow for accurate and successful completion of assignments/projects by using Microsoft Applications (Word, Excel, PowerPoint, Outlook, SharePoint, Teams).
Reviews and replies to all communications to ensure accuracy, efficiency and professionalism, as guided by the leaders.
Coordinates appointment calendars, coordinates meetings, reviews mail and responds as appropriate.
Coordinates various departmental events/activities, which may include dinners, retreats and meetings, purchasing and requisitioning.
As a member of the department support team, participates in team meetings, takes minutes and shares responsibilities as appropriate.
May be required to perform front desk duties, as assigned by leader.
Performs other duties as assigned.
Qualifications
Education
- High School Diploma or equivalent and formal business, secretarial or office administrative training preferred.
Experience
Minimum of 2 years of progressively responsible secretarial experience in a professional office.
Extensive software skills.
Credentials
- Notary Public License preferred.
Skills
Strong computer skills in Microsoft (including Word, Excel, PowerPoint, Outlook, SharePoint and Teams).
Visio experience preferred.
Excellent verbal and written communication skills.
Strong organizational and analytical skills.
Ability to manage multiple priorities, projects and display flexibility in a fast paced and changing work environment.
Ability to work with basic office equipment.
Department / Location Specific Notes
Mission Services:
Coordinates travel arrangements to include expense report management.
Provides administrative, program and project support for Spiritual Care, Mission Integration, Ethics, Diversity, Equity and Inclusion and PazSalud (PeaceHealth International Mission).
Supports the data and information management needs within the department.
Oregon West Network – O/P Behavioral Health Care Management:
- Assist staff by accessing CareConnect to review and work on cases as directed.
Oregon West Network – SHMC-University District Outpatient Therapy:
Timekeeping/PI process management – OP Therapy UD and RB
Policies/procedures writer – OP Therapy UD and RB, and Acute therapy RB
Quality data tracking and reports, including patient satisfaction – OP Therapy UD and RB
Oversight of Medicare compliance – OP Therapy UD and RB
Liaison with PFS – OP Therapy UD and RB
Oversight of transcription services – OP Therapy UD and RB
Super user/subject matter expert – EMR, software upgrades, other processes
Working Conditions
Lifting
Consistently operates computer and other office equipment.
Exerting up to 10 pounds of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects.
Sedentary work.
Environmental Conditions
- Predominantly operates in an office environment.
Mental/Visual
Ability to communicate and exchange accurate information.
The worker is required to have close visual acuity to perform an activity such as: preparing and analyzing data and figures; transcribing; viewing a computer terminal; extensive reading.
