Way Finders Program Data Supervisor in Springfield, Massachusetts

Responsibilities Include: Work with the Rental Assistance data processing team to resolve any issues related to direct deposit, banking and or payment issues Identify and work with IT, and the VP of Program Integration to resolve any software related issues Support team by addressing barriers to reviewing and approving emergency assistance applications in all appropriate databases Identify, develop and facilitate training needs for Program Data Specialists; support Program Managers with trainings for Homeless Prevention Counselors Ensure all required landlord documents including bank accounts are entered in data bases to facilitate timely payments Support the team by taking on approval of applications in order to meet weekly goals when needed Ensure timely and accurate changes in database systems for all payments as well as report accuracy Oversee submission of all landlord and vendor payment request reports to rental assistance weekly, and that required deadlines are met Ensure timely and accurate processing of payments; ensure that team meets a minimum daily goal of 20 payment approvals; identify barriers to meeting this goal, troubleshoot and provide resolutions when needed Ensure that all applications are approved in accordance with program guidelines in compliance with state and federal requirements Respond to data requests as needed Provide training and onboarding to new hires; Maintain database and systems to track performance and findings; Provide reports to management as requested Manipulate findings from databases to graphical aides Educate and advise staff on policies, procedures, regulations, as well as community needs and issues Educate and advise landlords, tenants, community groups, and other partners on policies, procedures, and regulations Respond to requests for information from auditors, other agency departments or funding sources Establish and maintain strong, collaborative relationships with internal staff and departments, owners, landlords, community groups, funding sources, and other shelter related departments or agencies to achieve goals Assist in the research and resolution of software issues, including updates as deemed necessary Proactively identify and inform the departmental manager of any issues that may adversely affect the department or organization Assist with hiring, and providing ongoing guidance, and training to all staff on program guidelines, processes, resource availability, housing search, and the resolution of involved or complex housing matters Evaluate and provide timely feedback to staff on performance related matters. Assess and identify staff member?s strengths and professional needs Requirements Include: 4 year degree in public administration or social services Minimum of 4 years experience within the field of administrative support; Proficiency in computer-based tools including Microsoft office, and databases; experience with MS Teams a plus Ability to work independently and flexibly; ability to evaluate and execute priorities Excellent analytical, organizational, and time management skills. Utilizes independent judgment. Strong interpersonal skills required to interact with all organizational levels; demonstrated ability to work appropriately with confidential information Ability to work in a team and meet performance deadlines in a dynamic environment Excellent written and verbal communication skills Ability to collect and analyze data to determine compliance with regulations, policies and rules Current and valid drivers license and the ability to perform position duties from multiple Way Finders locations Ability to pass a CORI Wage between $47,305 - $60,314 depending on qualifications, plus excellent benefits.
