Sierra Nevada Corporation Executive Assistant I / Paralegal in Sparks, Nevada

As an Executive Assistant I, you will provide dynamic, proactive administrative and paralegal support to the Legal department's General Counsel and a team of attorneys and legal operations professionals, as well as support the daily operations of our administrative professional teams. On behalf of the executive and legal team, you'll direct incoming calls, correspondence, and voice messages, accurately maintain calendar details and manage scheduling. You'll also coordinate meetings and appointments for the executive and legal team, provide timely reminders, and ensure stakeholder awareness in support of legal department activities. You'll compile communications and presentations, and liaise with key stakeholders in various departments to ensure seamless interaction between the Legal Department and its internal and external customers. Your duties will also include coordinating domestic and international travel to include visa and passport requirements, and leading off-site meetings and events for the department.

Responsibilities:

  • Provide legal administrative support to attorneys and operations employees within legal department, including calendaring, travel, processing expense reports, meeting/conference call coordination, mail distribution and similar administrative items

  • Draft and edit letters, memos, and other legal documents as required

  • Create and update templates according to new guidelines, policies or legal requirements and maintaining database for templates

  • Assist in processing Legal invoices and preparing check requests

  • Assist in management of the Legal and Corporate books and files

  • Perform research on issues and provide executive summaries of findings

Must-haves:

  • B.A. (or equivalent degree) and 2 years of relevant work experience, or H.S. Diploma and 3 years of relevant work experience.

  • Ability to maintain strict confidentiality

  • Advanced knowledge of Microsoft Office tools, including Word, Excel, PowerPoint, Visio, Teams, and SharePoint is required.

  • Excellent written and oral communication skills

  • Must be extremely dynamic, demonstrate initiative, and have the ability to multi-task in a very fast-paced environment.

  • Ability to work well both independently and on a team

  • Extensive organizational skills, attention to detail, and proficient communication skills are required.

  • Must be able to interpret the intent of available guidelines and use considerable judgment in applying them to individual situations.

  • Ability to develop high levels of credibility and forge solid and positive professional relationships with peers, management, and internal and external customers/partners

Preferred:

  • Paralegal Certification

  • Experience in a DOD environment and familiarity government travel requirements

  • Experience supporting legal teams, exposure to legal language, and/or legal contracts/filings.

  • Experience with Concur Travel and Expense platform or other travel management system.

  • Proven interpersonal communication skills with personnel at all levels internal and external to the organization, including foreign and military officials.
