Job Summary:

About the Job:

Reporting to the Technical Manager the Operations Coordinator will provide guidance and leadership in the areas of Back of House management and client interaction, load in and load out schedules and staffing, overall technical information for the venue and set up of all venue services.

The Operations Coordinator is a vital part of the Spark Arena team that will operate a professional, safe and world class facility for all users and patrons.

Objective of the position

Reporting to the Technical Manager the Operations Coordinator will provide guidance and leadership in the areas of Back of House management and client interaction, load in and load out schedules and staffing, overall technical information for the venue and set up of all venue services.

The Operations Coordinator is a vital part of the Spark Arena team that will operate a professional, safe and world class facility for all users and patrons.

Key Responsibilities and tasks of role

Event Management:

  • Oversee the setup and operation of all BOH areas for a variety of events, including concerts, sports events, and corporate functions.

  • Manage the load-in and load-out processes to ensure that all equipment and materials are handled efficiently and safely.

  • Ensure that BOH presentation and setup, including signage, cable trays, barriers, stage platforms, dressing rooms, and other facilities, meet Spark Arena’s high standards.

Staff Oversight:

  • Lead and manage the BOH team, including load-in/load-out crew, security personnel, and cleaning staff.

  • Coordinate staffing schedules, conduct briefings before events, and oversee staff training and performance reviews.

  • Ensure that all team members are well-prepared and equipped to handle their tasks effectively.

Administrative Duties:

  • Develop and manage event technical plans, schedules, and budgets, ensuring accuracy and timely completion.

  • Prepare and maintain event documentation, including feasibility budgets, cost reports, and building maps with technical elements.

  • Handle all accreditation processes and ensure that all costs related to BOH operations are accurately recorded and reported.

Health & Safety:

  • Take a leading role in implementing and maintaining Spark Arena’s health and safety plans and emergency procedures.

  • Conduct regular training sessions for staff and contractors on safety practices and ensure compliance with health and safety regulations.

  • Serve as Chief Fire Warden and contribute to risk management strategies to ensure the safety of all personnel and guests.

Collaboration:

  • Work closely with other departments within Spark Arena to ensure that all event requirements are met.

  • Attend production meetings to provide updates on BOH requirements and assist with FOH and Food & Beverage (F&B) setups as needed.
