Description

Robert Half is working with a reputable education company in South San Francisco who is looking for a skilled Executive Assistant. The Executive Assistant provides high-level administrative support to the Superintendent and other senior leaders within the school district. The position requires a highly organized, proactive, and professional individual with the ability to manage multiple priorities, work independently, and demonstrate exceptional communication skills. This role is integral to the smooth operation of the district, ensuring effective coordination between departments, school leadership, and the broader community.

Key Responsibilities:

  • Provide high-level administrative assistance to the Superintendent and executive team, including calendar management, travel coordination, and scheduling meetings.

  • Draft, proofread, and prepare communications, reports, presentations, and documents for internal and external stakeholders.

  • Organize and maintain files, records, and databases, ensuring confidentiality and accuracy of sensitive information.

  • Schedule and coordinate meetings, including preparing agendas, materials, and taking minutes as needed.

  • Ensure follow-up on action items from meetings and track progress.

  • Serve as the primary point of contact for the Superintendent and district leadership, managing incoming calls, emails, and inquiries.

  • Act as a liaison between the Superintendent’s office and internal/external stakeholders, including staff, parents, board members, and the community.

  • Assist in the preparation of communications and presentations for Board meetings, public events, and other district-related activities.

  • Assist in organizing district-wide events, such as Board meetings, staff development days, and community engagement initiatives.

  • Coordinate logistics for events, including venue selection, guest lists, catering, and other needs.

  • Assist in managing and supporting district initiatives, ensuring timelines are met and progress is tracked.

  • Support the preparation of reports and project updates for district leadership.

    Requirements

Qualifications:

  • High School diploma required; Associate’s degree or higher in a related field preferred.

  • 3 years of experience in an executive administrative support role, preferably in an educational setting.

  • Strong experience with office software (Microsoft Office Suite, Google Workspace, etc.) and office equipment.

  • Exceptional organizational and time management skills, with the ability to prioritize tasks effectively.

  • Excellent written and verbal communication skills.

  • High attention to detail and accuracy.

  • Ability to maintain confidentiality and handle sensitive information with discretion.

  • Proactive, resourceful, and able to work independently with minimal supervision.

  • Strong interpersonal skills with the ability to interact professionally with district staff, community members, and external organizations.
