University Medicine Lead Medical Secretary - Smithfield in Smithfield, Rhode Island

SUMMARY:

In the absence of the Practice Manager and Assistant Practice Manager (if applicable), provide direction, planning and coordination of practice activities. Also mentors and trains new hires. Performs all duties of Medical Secretary/Assistant. Reports to Practice Manager.

PRINCIPAL DUTIES AND RESPONSIBILITIES:

  • Covers for the practice manager in his/her absence.

  • Mentors and trains new hires.

  • Performs duties of Medical Secretary

  • Demonstrate flexibility to perform duties wherever volume deems it necessary within the office.

BASIC KNOWLEDGE:

  • High school diploma or GED.

  • Demonstrated ability to establish positive rapport with peers.

  • Graduate of a Medical Secretary Program or equivalent experience.

  • Ability to read, speak and understand (both orally and in writing) English.

  • Ability to establish and maintain effective working relationships with customers (patients, physicians, coworkers, supervisor, etc.).

Medical Secretary

  • Knowledge of medical office procedures and terminology.

  • A technical understanding of reimbursement policies and procedures of various third party payor and medical assistance programs to ensure billing procedures are in compliance.

  • Skill in greeting patients and answering telephones with a strong customer service focus.

  • Skill in operating a variety of office equipment such as copier, facsimile, scanner and computer.

  • Ability to prepare letters to patients and other correspondence.

  • Ability to speak clearly and concisely.

  • Knowledge of grammar, spelling and punctuation to document patient information and type correspondence.

  • Skill in patient scheduling, billing and EMR software.

EXPERIENCE:

Three to five years’ experience as a medical secretary. Experience with EMR software and medical scheduling software preferred.

WORKING CONDITIONS AND PHYSICAL REQUIREMENTS:

Conditions common to a clinical practice environment including potential exposure to communicable diseases, medicinal preparations and hazardous materials. Involves frequent contact with patients. INDEPENDENT ACTION:

Work is performed under general supervision, with some independent judgment exercised in determining priorities.
