CBRE Global Workplace Solutions currently have an opportunity for a Mailroom Administrator to join our team. This is a great opportunity to join a leading global Facilities Management company & to excel in a diverse and exciting workplace.

Main responsibilities

  • Receiving, sorting, distributing & dispatching of all incoming and outgoing post and packages

  • Processing of packages utilising our client processing system software

  • Ensuring that total quality management controls are maintained throughout the various aspects of the operation

  • Communicating with clients professionally at all times, by understanding and anticipating their needs and responding quickly to requests

  • Consistently meet measurable KPI’s for daily operations

  • Accurately complete daily, weekly, monthly and quarterly paperwork

  • Supporting the client to introduce service enhancements & developments

  • Contributing & maintain a positive team spirit

  • Maintaining safe working practices in line with QHSE regulations

  • Undertaking any reasonable ad-hoc duties as requested by Facilities Manager

  • Processing courier invoices and cross checking their accuracy with records

  • Stock management of stationary, packaging and other supplies

  • Printer management

Additional responsibilities (Supervisor)

  • Ensure tasks completed efficiently to the highest standard

  • Managing staff annual leave and other requests

  • Booking, training and supervising temporary agency staff during busy periods

  • Main point of contact for all mailroom queries via phone, email, in person, and client ticket request system

  • First point of contact with any mailroom issues requiring resolution or escalation

  • First point of contact with courier account managers

  • Liaison with multiple site departments on shipping issues, including customs, trade compliance and legal/regulatory

  • Promoting innovations and process improvements to enhance operations

  • Creating and updating Standard Operating Procedures and other guideline documents

The successful candidate will need:

  • Experience of working in a busy, demanding & fast pace environment

  • Excellent use of IT skills & systems

  • Excellent time management skills & good eye for detail

  • Previous experience of undertaking supervisory responsibilities

  • Customer focused approach & positive attitude

  • Have the ability to plan, organise, & prioritise workload to meet customer demand

  • Be able to work on own initiative, be efficient, flexible, reliable and keen to develop skills & experience

  • Be an excellent communicator at all levels & enjoy working as part of a team

  • Willing to undertake any related training (e.g. dangerous goods shipping, customs)
