Koniag IT Systems, LLC, a Koniag Government Services company, is seeking a General Clerk III to support KITS and our government customer in Silver Spring, MD. This position requires the candidate to be able to obtain a Public Trust. This position is for a Future New Business Opportunity.

Koniag IT Systems, a subsidiary of Koniag Management Solutions, is seeking an experienced General Clerk III (SCLS) to join our team. This role is responsible for providing advanced administrative and clerical support to our IT operations and services, ensuring efficient and organized office operations. The ideal candidate should possess strong organizational skills, proficiency with office software and equipment, and the ability to multitask and handle complex tasks in a fast-paced environment.

Essential Functions, Responsibilities & Duties may include, but are not limited to:

The General Clerk III will be responsible for:

  • Performing a wide range of advanced administrative and clerical duties, including managing complex filing systems, coordinating meetings and events, and preparing comprehensive reports and presentations.

  • Maintaining organized and up-to-date physical and electronic filing systems for documents and records related to IT operations, ensuring proper record management and compliance with established protocols.

  • Assisting with data entry tasks, including entering complex information into computer systems and databases with a high degree of accuracy.

  • Preparing and proofreading various documents, including reports, correspondence, presentations, and proposals, ensuring accuracy, adherence to established formats, and consistent branding.

  • Coordinating and scheduling meetings, appointments, and travel arrangements for IT staff, as well as managing meeting logistics and materials.

  • Maintaining office supplies inventory and placing orders as required, while monitoring and adhering to established budgets.

  • Providing advanced administrative support to IT personnel, including organizing and distributing materials, coordinating project tasks, and performing other clerical duties as assigned.

  • Adhering to office policies and procedures, ensuring confidentiality and security of sensitive information, and maintaining a professional demeanor when interacting with colleagues and clients.

Requirements

Education:

  • High school diploma or equivalent.

  • Ability to obtain a Public Trust

Work Experience, Knowledge, Skills & Abilities:

  • Minimum of 1 year of experience in an administrative or clerical role, preferably in an IT or technology-related environment.

  • Use some subject-matter knowledge and judgment to complete assignments consisting of numerous steps varying in nature and sequence.

  • Select from alternative methods and refer problems not solvable by adapting or interpreting substantive guides, manuals, or procedures.

  • Assist in a variety of administrative matters; maintaining a wide variety of financial or other records (stored both manually and electronically); verifying statistical reports for accuracy and completeness; compiling information; and handling and adjusting complaints.

  • Direct lower-level clerks.

  • Minimum of 3 years of experience in an administrative or clerical role, preferably in an IT or technology-related environment.

  • Proficiency in using computer software programs, including Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook), and familiarity with various office equipment and technologies.

  • Exceptional organizational and time management skills, with the ability to prioritize tasks, manage multiple projects, and meet deadlines.

  • Excellent attention to detail and accuracy in handling administrative tasks and preparing complex documents.

  • Proficient in using office equipment, such as printers, copiers, scanners, and audio-visual equipment.

  • Strong written and verbal communication skills, with the ability to interact professionally with colleagues, clients, and stakeholders at all levels.

  • Ability to multitask and work effectively in a fast-paced and dynamic environment, handling multiple responsibilities simultaneously.

  • Familiarity with advanced office procedures, protocols, and record management practices.

  • Ability to maintain confidentiality and handle sensitive information with discretion.

  • Proactive problem-solving skills and the ability to take initiative when necessary.

Desired Skills and Competencies:

  • Associate's degree or related post-secondary education in business administration, office management, or a related field.

  • Advanced experience with data entry and proficiency in various computer systems and databases used in IT operations.

  • Knowledge of project management tools and techniques, with the ability to contribute to project coordination and support tasks.

  • Familiarity with IT terminology and concepts, with a basic understanding of technical issues and processes.

  • Proficiency in additional software applications, such as Adobe Acrobat, Microsoft Visio, or project management software.

  • Experience in a government or military IT environment, with knowledge of relevant regulations and compliance requirements.

Working Environment & Conditions

This job operates in a professional office environment and has a noise level of mostly low to moderate. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

This position is primarily indoors, consistent with a standard office position and has a noise level of mostly low to moderate. The incumbent is required to stand, walk; sit; use hands to finger, handle, or feel objects, tools, or controls; reach with hands and arms; talk and hear. The workload may require the incumbent to sit for extended periods of time. The incumbent must be able to read, do simple math calculations and withstand moderate amounts of stress.

The incumbent must occasionally lift and/or move up to 25 lbs. Specific vision abilities required by the job include close vision, distance vision, color vision, depth perception, and the ability to adjust focus.
