The Institute of Translational Health Sciences (ITHS) is a $70M health research institute based at the University of Washington, with integrated partnerships with Fred Hutchinson Cancer Research Center and Seattle Children’s Hospital, and more than 20 other organizations engaged in health research in five states in the Pacific Northwest region. The mission of the Institute of Translational Health Science (ITHS) is to accelerate the translation of scientific discoveries to the clinic and beyond to improve the health of people in our region today. ITHS develops critical resources to help innovators move their discoveries forward. The unit fosters innovative health research, sustains research resources, and provides education and career development programs.

The Institute of Translational Health Sciences (ITHS) is seeking a Research Operations Specialist to support the ITHS Offices of Research Development and Evaluation. Reporting to the ITHS Director of Research Development, this position will support a range of activities related to pre-award proposal development and compliance, post-award management and compliance, other institute reporting, and support for other closely related programmatic activities. ITHS will provide training and resources for the specialist to gain critical knowledge and learn processes to execute the responsibilities of the role. The role will require a keen interest in learning, strong attention to detail, effective task management skills, and a timely, clear, and responsive communications approach.

DUTIES AND RESPONSIBILITIES Pre-award development and operations (30%) • Support ITHS Office of Research Development with proposal submission processes including internal routing of applications, interpretation of sponsor guidelines, and development of electronic proposals. • Work with the ITHS Offices of Research Development and Finance, coordinate and develop administrative components required for the on-time submission of proposals, including budgets, budget narratives, form pages, biographical sketches, and indirect cost waivers in accordance with institutional and sponsor guidelines. • Ensure all proposal deadlines are met with ITHS Office of Research Development, collaborating organizations, and research team members. • Manage data entry and document upload to funder portal and review application for technical issues. • Assist with pre-award requests for information from sponsors including drafting, collection, and review of necessary documentation and responses. • Maintain and archive files and communications of grant submissions. • Monitor status of submissions and inform appropriate administrative and scientific personnel to prepare for pre-award “just in time” requests and post-award processes. • Cross-train with team members on an ongoing basis to learn other aspects of research operations, including federal grant submissions.

Post-award compliance and operations (30%) • Work with ITHS Offices of Research Development and Finance and UW Office of Research to initiate and complete award setup processes and modifications. • Revise templates and guidance for post-award documents to align with policy updates and clarifications from the university and sponsor. • For funded projects, assist with startup through transition of project management, document and data management, and other pre-award activities to project teams. • Support the ITHS Offices of Evaluation, Research Development, and Finance in collecting, preparing, reviewing, and submitting interim and final progress reports, prior approval requests, “just in time” documents, updates to human subjects study records, and other activities related to terms and conditions of awards. • Associate relevant publications with ITHS awards and monitor compliance with federal policies for grant acknowledgement and public access. • Communicate with ITHS personnel and ITHS-funded researchers to advise and assist with federal public access policy compliance requirements.

Internal and institutional reporting (15%) • Assist with collection, cleaning, and aggregation of data relevant to institute operations, evaluation, and strategic planning for future funding applications. • Support development of reports for key stakeholders (e.g., annual External Advisory Board report, special reports for institutional leadership). • Work with the ITHS Office of Evaluation, assist with updating and monitoring of surveys for ITHS programs and resources.

Other programmatic support and training (25%) • Build and maintain a knowledge base of university, federal, state, and funding agency policies and procedures. • Monitor funder and institutional changes in policy, process, and forms; update internal templates and/or guidance under supervision of the ITHS Office of Research Development; and as needed, prepare briefings for ITHS personnel and collaborators regarding impact of changes. • Support development and maintenance of tools and resources managed by the ITHS Office of Research Development. • Assist in development of improved processes and systems for ITHS research operations and development activities. • Maintain process documents relevant to ITHS research operations and development activities, ensuring documentation is complete and up to date. • Work with the ITHS Office of Communications to disseminate information to internal and external stakeholders through established communications platforms and channels. • Contribute to the development and delivery of presentations to key stakeholders regarding research administration topics. • Participate in trainings, peer networks, and meetings, within and outside the university, related to research operations to learn about critical changes and lessons learned that can be integrated into ITHS operations and support professional development.

MINIMUM REQUIREMENTS • Bachelor’s degree in business administration, public policy/administration, or related field. • Minimum two years of professional experience in a regulated environment that demonstrates ability to understand internal and external policies and assess compliance.

Equivalent education/experience will substitute for all minimum qualifications except where there are legal requirements such as license/certification/registration. ADDITIONAL REQUIREMENTS • Analytical and problem-solving skills. • Excellence in establishing work priorities, following through, and meeting established deadlines. • Ability to maintain effective lines of communication including the ability to resolve conflict and negotiate. • Ability to maintain a high level of confidentiality with sensitive information. • Proficiency with Microsoft Office products as well as use of spreadsheets and database software. • Ability to execute tasks independently while working on a team. • Excellent interpersonal skills including both verbal and written, with a customer service demeanor.

DESIRED REQUIREMENTS • Experience or certification in project management, financial management, or research administration, ideally in an academic, medical, or non-profit setting. • Experience/knowledge of relevant compliance processes related to use of human subjects in research, federal funding of research activities. • Ability to develop creative solutions to challenging situations and to respond constructively to others' ideas and suggestions.
