Total Talent Management (TTM) a division of UW Human Resources is seeking a Program Operation Manager to join their dynamic Campus recruitment team. This position is full-time and temporary (1 year appointment).

The Recruiting Operations Manager is responsible for managing Total Talent Management – Recruitment’s day-to-day operations, assisting with continuous process improvement, and supervising a team of Human Resource Consultant Assistant 2s and student assistants with supervision and support for the Director of Campus Recruitment.

The Operations Manager will respond to or triage questions and issues that escalate from the recruitment team and HR partners, propose opportunities for process and program improvement, and lead change efforts. These responsibilities require a high level of customer service excellence, the ability to understand complex and often sensitive information, and strong relationships with colleagues across the enterprise. They also require expertise in HR policy and the ability to partner effectively with cross-functional teams to resolve complex issues and manage change. They will use data to propose and implement process improvements and to monitor and adjust team workloads.

In partnership with the director for campus recruitment and the diversity recruiting consultant, the Operations manager will manage team selection and hiring processes, coordinate on boarding for new team members, coach employees to meet TTM’s compliance and client-service standards and help to coordinate major initiatives and work efforts.

Additional responsibilities will include coordinating team leave coverage, overseeing recruitment’s record retention, coordinating responses to records requests, monitoring space resource management, organizing and facilitating stakeholder and project team meetings, and maintaining process and project documentation.

DUTIES AND RESPONSIBILITIES Operations management

• Serve as primary recruitment team point of contact for routine operational questions and hiring process issues and escalate concerns to the director as needed. • Manage staff visa process. • Develop and maintain process documentation to ensure consistency, compliance, and efficiency. • As needed develop new workflows to support emergency initiatives and compliance requirements. • With director, develop data-driven approaches within recruitment. Produce reports and utilize existing UWHR and institutional data to inform decision-making and utilize key performance measures to track improvement on improvement on recruitment, TTM and UWHR priorities. • Oversee Campus Recruitment compliance with UW and OFFCCP record-keeping standards. • Lead or participate in process improvement efforts to document increased efficiency in the hiring process. • Partner with diversity recruiting consultant to review processes for DEI best practices and to propose and implement changes. • Manage ad hoc projects, including but not limited to, hiring for recruitment team vacancies and researching best practices. • Create, maintain and monitor project plans and project schedules. Organize and facilitate stakeholder and project team meetings. Document and follow up on important actions and decisions. Prepare meeting agenda, notes and other necessary presentation • Participate as TTM-Recruitment representative on assigned UWHR University work groups and implementation teams.

Management and team support

• Supervise HR Consultant Assistant 2 and student assistant positions • Conduct and coordinate training for new team members, assign workloads and redistribute client groups when necessary, and coach, mentor, and develop team members. • Model and support growth in UWHR’s Professional Competency areas (see below). • Represent team in building management/coordination meetings and distribute essential information to team in a timely manner. Serve as first point of contact for team’s operational needs such as ordering office supplies, brochures and other materials. • Coordinate team leave coverage. May provide backup coverage for team during unexpected absences and peak leave periods.

• Maintain knowledge of legislative, regulatory and labor agreement requirements that impact the recruitment and selection process, including Equal Employment Opportunity (EEO) and affirmative action guidelines and laws, such as the Americans with Disabilities Act (ADA). • Remaining current in use of technology tools and practices. • Cultivate excellence in UW Human Resources professional competencies in self and teammates. UWHR competencies are listed below as additional job requirements. • Participate in departmental, team and university training and change management efforts. • Includes miscellaneous duties as project success requires and/or other duties as assigned.

MINIMUM REQUIREMENTS

• Bachelor's degree in a field that emphasizes evidence-based approaches to decision-making and process-improvement such as human resources, business, education, public policy, or social work. • Four or more years of experience working in human resources and work experience that includes experience leading projects and/or teams. • Minimum of three years managing complex and detail-oriented HR processes.

Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration. ADDITIONAL REQUIREMENTS

• Experience implementing policies and practices to support equitable and inclusive hiring or HR services. • Proficiency with Microsoft Office functions and demonstrated ability to learn new technologies. • Proficiency with project management and analyzing data to prioritize work and inform decision-making. • Experience identifying and addressing opportunities to improve administrative or customer service processes. • Demonstrated commitment to growth in UWHR core competency areas, which are:

WORKING ENVIRONMENT

• Hybrid, in an open office space, at least two days per week.

WORKING CONDITIONS

• The Recruiting Operations Manager must be willing to participate in a background investigation to help administer the University’s Select Agent and Radiation Safety programs. • Campus Recruiting is a fast-paced central administrative unit. Peak work periods and emergent operational needs can require more than a 40-hour work week.
