The School of Pharmacy has an outstanding opportunity for a Program Operations Specialist to join their team.

This position works to integrate processes between the SOP Office of Professional Pharmacy Education, Department of Pharmacy, UW Office of the Registrar/Curriculum Office, Student Services, and the office of Disability Resources for students to ensure that faculty and courses are in compliance with the regulations of all entities.

The Department Program Operations Specialist is heavily involved with faculty, students and staff, and multiple Central UW Units in carrying out program administrative activities, supporting faculty in course preparation and execution, and the coordination/monitoring of curricular activities to determine consistency with the PharmD program and departmental goals.

This position reports to the Department Curriculum Manager.

DUTIES AND RESPONSIBILITIES 50%: Operational Direction/Administrative processes

  • PharmD, Undergraduate, and Graduate course updates/ Canvas course page management/technical trouble shooting; managing support operations of teaching faculty, serves vital role in the curricular innovation transition and implementation.

  • Lead the Department’s implementation of ExamSoft across all didactic courses and administer the platform in coordination with the Office of Professional Pharmacy Education in the Dean’s Office.

  • Regularly survey Department Faculty regarding course needs regarding: course budgets, space/facility needs, course materials, AV requests, Disability related requests, proctoring exams, etc.

  • Facilitates course evaluation process for all Department courses.

  • Ensures FERPA training compliance as needed.

  • Acts as an overall operational resource to DOP faculty, students, teaching assistants and educational assistants.

  • This position is heavily involved with students, staff, faculty, multiple Central UW Units and the public in carrying out program administrative activities, the coordination/monitoring of activities to determine consistency with the PharmD program and Departmental goals.

  • Other duties as assigned.25%: Course Support

  • Work closely with Department Curriculum Manager, BPLL Program Operations Specialist, and Department Chair to ensure curriculum support for didactic and lab-based courses.

  • Provide consultation to Department leadership and Curriculum Committee on course staffing.

  • Act as liaison/mediator between students and instructors, coordinate guest lecturers and office hours for multiple sections.

  • Support course examinations as the ExamSoft content expert in coordination with the Department Curriculum Manager.

  • Prepare, maintain, and update web pages, electronic discussion boards, etc., as appropriate to the course, prepare materials/handouts for sections/quizzes

  • Serve as proctor for exams for department courses as appropriate.10%: Faculty Advising

  • Primary point-of-contact/liaison between faculty and registrar’s office, expert on course change/management process and policy.

  • Primary point-of-contact for faculty inquiries regarding DRS.

  • Work directly with all Department Faculty to communicate updates and support programmatic changes to curriculum related technologies, including but not limited to: Canvas, ExamSoft, Zoom, and Panopto.10%: Course Management

  • Survey course leads for their budgetary needs for all department course offerings (undergraduate, professional, and graduate) quarterly.

  • Review academic support budgets and monitor expenditures to ensure budget stays on target.

  • Coordinate additional/new funding requests with DOP and SOP leadership as appropriate.

  • Coordinate course classroom needs with School Curriculum Coordinator.

  • Coordinate guest speaker parking.5%: Events management

  • Plan, organize and execute regalia and attendance of DOP faculty (approx. 40) for the SOP graduate recognition ceremony in spring, and provide onsite support at the ceremony.

  • Provide support for other Department graduation related events (e.g. BRAMS program, Plein Center, CHOICE Institute graduate programs).

  • Plan, organize, and execute other Department events as needed. MINIMUM REQUIREMENTS

  • Bachelor's Degree in a relevant field and two to three years experience in program management and/or outreach activities in an academic or research setting Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration. ADDITIONAL REQUIREMENTS

  • Experience with (or the ability to learn) protecting student privacy and data security. Careful stewardship of sensitive information/materials.

  • Demonstrated ability to work cooperatively with representatives from all levels of staff, faculty, students, and external stakeholders across a large, complex, multi-campus organizational structure in a fast-paced environment.

  • Ability to interpret and communicate to others complex policies and procedures

  • Conceptual and innovative thinking skills (i.e. identifying solutions) and analytical thought processing needed to develop solutions across a variety of complex situations

  • Curriculum Management/coordination/academic timelines and cycles experience

  • Understanding of Registrar process, policy, and related University process

  • Experience working closely with diverse stakeholders, teaching and clinical faculty

  • Excellent communication - both written and verbal.

  • Ability to organize, prioritize and multitask with little direction.

  • Strong attention to detail, ability to organize and integrate complex policy and procedure DESIRED QUALIFICATIONS

  • M.A. or M.S. degree preferred

  • Knowledge of UW curricular policy and procedure
