UW Facilities manages the University’s buildings, infrastructure and land, with more than 1,100 employees in a variety of fields. The Asset Management group includes Capital & Space Management, Real Estate, Sustainability and other teams responsible for planning and workload management. The Operations group includes Project Delivery, Maintenance & Construction, Campus Energy, Utilities & Operations, Building Services, Transportation Services and Safety. Supporting these groups are the Business Intelligence & Information Technology group and the Finance & Administration group.

Campus Energy, Utilities & Operations has an outstanding opportunity for a Program Coordinator, Refrigeration Shop .

Under general direction of the Supervisor, this position provides support for Facilities Maintenance Refrigeration staff, using knowledge and experience specific to the Refrigeration shop.

Primary Duties and Responsibilities

Maintenance Program Coordination:

• Provide primary administrative support for Shop 69. • Employ AiM, computerized maintenance management system, to monitor and report issues regarding budgetary requests and the purchase of departmental equipment. Using independent judgement, advise other Facilities staff and other campus clients regarding program policy and practice. • Schedule Preventive Maintenance activities with campus stakeholders using Microsoft Outlook for correspondence and calendaring. • Maintain and develop Refrigeration Shop records such key inventories, chemical inventories, Safety Data Sheets, shop tool inventories and shop safety compliance records. • Produce narrative and statistical charts and graphs from spreadsheets and databases. Maintain metrics boards and advise staff on the Key Performance Indicators (KPIs) being measured. • Work with CEUO staff to determine work order status, shop schedules and knowledge of federal regulation, provide continuous coverage for documentation aspects of the University’s Refrigerant Compliance Plan. • Work with Facilities staff, Environmental Health and Safety staff and external agencies to help ensure shop processes are updated to comply with ongoing changes to Federal refrigerant control in a timely and efficient manner • Coordinate office equipment ordering and maintain records of purchase. • Maintain official Refrigeration Shop bulletin board. • Follow University of Washington Records Retention Schedule requirements. • Work with on-campus clients to ensure preventative maintenance schedules meet customer expectations with regards to timing, service and communication • Promote excellent customer service through effective, courteous and professional interactions with clients, colleagues and the campus community. • Participate in peer unit meetings for the purpose of standardizing implementation of department-wide policies and procedures. • Maintain knowledge of departmental time and leave policies, purchasing policies, hiring and onboarding, etc., and be prepared to advise staff and others about these policies and procedures • Other duties as assigned

Requirements include:

• High school graduation or equivalent AND two years of experience in providing business operations support in maintenance and/or construction and/or skilled trades environment OR equivalent education/experience.

Additional Requirements include:

• Demonstrated successful ability in taking direction, working well with others and as a member of a team. • Demonstrated excellence in effective verbal and written communication skills. • Demonstrated proficiency working with detailed documentation, while maintaining a high degree of accuracy. • Demonstrated successful experience with computer technology. • Demonstrated strong organizational skills and attention to details. • Possession of a valid Washington State driver’s license.

Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.

Desired:

• Demonstrated experience working with skilled trades and familiarity with skilled trades nomenclature. • Demonstrated proficiency with computerized work management and purchasing systems. • Demonstrated proficiency with AIM and cellular phone technology. • Possess a bachelor's degree

Conditions of Employment:

• Must be able to work in a non-smoking environment. • Regular and predictable attendance is required. • Must participate in medical screening/monitoring (such as TB screening and proof of measles inoculation) required for work assignments in locations, including but not limited to, nonhuman primate areas, the Animal Research and Care Facility, and the University of Washington Medical Center.
