The School of Environmental and Forest Sciences (SEFS) is seeking a Full-Time Administrative Assistant Lead to support its diverse academic community. Established in 1907, SEFS aims to create a safe and equitable environment, promote support and inclusion, and celebrate differences for better educational, research, and science engagement.

The position is currently located in Winkenwerder Hall, a temporary location while Anderson Hall is being renovated.

The SEFS Office Manager will cover reception, office management, financial duties, shipping coordination, and ensure diversity and inclusion in the office under the supervision of the Administrator. The Office Manager will also support the Student and Academic Services Manager by coordinating the course time schedule programming, field trip scheduling, and managing the ASE appointment letter process. This role has a direct impact on prospective and current students, faculty, and staff. The successful applicant must be able to communicate clearly and work patiently and productively in a diverse setting.

DUTIES AND RESPONSIBILITIES Office Management 50%

The Main Office duties include: • Reception, welcoming and directing visitors to SEFS • Ordering and maintaining office supplies through Workday • Using Procurement Card for ordering items and paying for various services • Mail and Shipping Coordinator, including receiving and sending mail and packages • Supervising main office hourly student assistants • Filing and organizing paperwork in shared drives, with student support • Onboarding of all employees in SEFS regarding all required training • Other duties as assigned

Academic Support 40%

The academic services support includes administrative tasks such as: • Managing grad student hiring process by advertising jobs, routing candidates for ranking, and managing appointment letter process for ASE jobs and SEFS Fellowships • Programming Course Time Schedule and monitor course fees • Coordinating with faculty who take classes on field trips, manage field trip transportation • Other duties as assigned

Event and Meeting Support 10%

• Supporting the Assistant to the Director by assisting with department-wide events • Supporting the Student and Academic Services Office by assisting with student events • Conference room and meeting room reservations

MINIMUM REQUIREMENTS

Requires High School/GED AND four (4) years of office or administrative support experience to include one year work experience as Administrative Assistant 3 OR a combination of equivalent education and experience.

ADDITIONAL REQUIREMENTS

• Good communication and organization skills. • Demonstrated understanding and practice of confidentiality, tact, and discretion. • Ability to train and work well with student assistants. • Demonstrated service orientation and team player.

WORKING CONDITIONS

• This position is designated as Critical Services Personnel, which means that when the UW is under Restricted Operations, candidate must be able and willing to report to work on campus to fulfill major job functions. • Able to work Monday through Friday, 8:00 am to 5:00 pm.
