The Division of General Internal Medicine in the Department of Medicine has an outstanding opportunity for a full-time Grants Manager. POSITION PURPOSE

The purpose of this position is oversight and administration of grants and contracts in the Cardiovascular Health Research Unit (CHRU) with over $10M annual expenditures. The position is responsible for providing strategic pre-award and post-award administration and reporting for more than 7 faculty members within the Unit, ensuring compliance with budget and fiscal policies, procedures, monitoring, and reporting for research grants and contracts. The Program Operations Specialist exercises independent judgment.

POSITION COMPLEXITIES

The Cardiovascular Health Research Unit is a complex Unit with an international reputation, whose investigators collaborate with many research faculty and investigators within the UW community, as well as many other universities and institutions, both nationally and internationally. The Unit is comprised of 2 co-directors, 7 investigators (from General Internal Medicine, Cardiology, Epidemiology and Biostatistics), 17 research staff and three pre-doc students.

The Program Operations Specialist will work among a multi-disciplinary team of researchers, research and administrative staff managing grants and contracts for the CHRU's various ongoing projects. This position will work directly with the CHRU Associate Director for Research Operations, Co-Directors and Principal Investigators and will be responsible for both pre- and post award technical budget and fiscal analysis, evaluation, interpretation and reporting using sponsor, university and departmental policies and procedures

POSITION DIMENSIONS AND IMPACT TO THE UNIVERSITY

This position will work closely with multiple University departments and schools, ensuring compliance with NIH and other sponsor guidelines and rules; interacting on a regular basis with various national and international universities and research organizations who collaborate with the CHRU in research-related activities and grant management.

DUTIES AND RESPONSIBILITIES POST-AWARD ADMINISTRATION (60%)

  • Research, interpret, and implement funding agency fiscal guidelines and rules.

  • Provide financial planning and award administration support, including complex budget management, complicated expenditure transactions, and preparation of fiscal documents for external purposes.

  • Initiate and monitor budget allocations and subcontract accounts; coordinate with other UW departments and external partners.

  • Monitor financial activity on grants and contracts, use CHRU templates to create detailed budget reports for principal investigators. Take corrective action to respond to budget variances.

  • Review expenditures for compliance and correct/adjust transactions as needed.

  • Communicate effectively with principal investigators and the Office of Sponsored Programs (OSP).

  • Facilitate closeout process for awards. Verify that final sponsor reports have been submitted on time, that proof of final submissions have been properly documented and are on record with OSP and GCA as needed.PRE-AWARD MANAGEMENT (20%)

  • Work with principal investigators and the Associate Director for Research Operations to prepare grant submissions, develop budgets, request documents from subawards, input information into online applications, submit to OSP.

  • Request biosketches and other support forms from key personnel, both at the UW and other institutions.

  • Prepare Just In Time documents (JIT) when requested by sponsors.OTHER DUTIES (20%)

  • Submit purchase requests, using the Unit’s ProCard, as well as UW’s Purchasing system for purchasing equipment and supplies.

  • Prepare travel reimbursements for CHRU investigators and staff.

  • Manage office equipment- troubleshoot any problems and order supplies as needed

  • Send work order requests to building management for key cards for new employees, as well as any facility repairs

  • Prepare outgoing mail and distribute incoming mail to CHRU personnel.

  • Update CHRU website as needed, working with Unit’s faculty to ensure current information is posted.

  • Work with IT manager to prepare annual equipment insurance report.

  • Attend administrative meetings; participate in the School, College and UW meetings for grants managers.

  • Continually learn best practices and new requirements for grants and contracts and disseminate information to faculty and program staff. MINIMUM REQUIREMENTS

  • BA in Business Administration or related field plus a minimum of 2 years related experience. Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration. ADDITIONAL REQUIREMENTS

  • Position requires independence, initiative, time management and organizational skills, excellent communication skills and a sound understanding of priorities and financial principles and accounting practices.

  • Ability to represent the Associate Director of Research Operations and the CHRU in interactions with a wide range of individuals, and institutions and organizations. DESIRED QUALIFICATIONS

  • Working knowledge of UW systems, including SAGE, Workday, My Financial Desktop, as well as NIH online application website (NIH Assist) and eRA Commons.
