The Alexa Product, Sales & Marketing team is seeking an exceptionally organized, detail-oriented, and self-motivated Executive Assistant to provide Executive Administrative support to two Directors. In this crucial role, you will be responsible for managing complex calendars, coordinating travel and logistics, and handling sensitive and confidential information with the utmost discretion. You will be the interface for our busy Directors, ensuring their time is allocated well and that critical requests are triaged and addressed efficiently.

Key job responsibilities

This is a critical role that requires exceptional organizational skills, attention to detail, and the ability to thrive in a fast-paced, dynamic environment.

Calendar Management and Scheduling:

  • Manage complex calendars and schedules for two executives, coordinating internal meetings, appointments, and travel bookings.

  • Ensure meticulous attention to detail in scheduling, planning, and executing meetings, agendas, and appointments.

  • Liaise with executive assistants and other stakeholders to ensure a seamless scheduling experience.

  • Prioritize requests and provide timely and professional communication.

Event and Activity Planning:

  • Schedule ongoing team activities, such as staff meetings, all-team meetings, training sessions, offsites, town halls, and morale events.

  • Coordinate with cross-functional partners to schedule meetings with senior leadership within and outside of the Alexa org.

  • Communicate directly with the senior leadership team and other stakeholders on behalf of the executives.

Administrative Support:

  • Assist with a wide variety of day-to-day administrative tasks on behalf of the Directors, including expense reporting and travel management and coordination.

  • Manage special projects as needed.

Proactive and Collaborative Approach:

  • Proactively coordinate and engage with leadership in planning and organizing events, activities, and calendars.

  • Track and help drive the completion of key deliverables, following up on outstanding items.

  • Maintain a positive and fun work environment.

A day in the life

On a day-to-day basic, the Executive Assistant will maintain Executives calendars, keeping it organized for weeks in advance. This involves maintaining strong working relationships with the executives, the leadership team, partner EAs, and members of the business. Additionally, the Executive Assistant will partner with other team members for team events, space planning, and building a proactive outlook for upcoming meetings.

We are looking for an exceptional Executive Assistant to support two busy leaders, keep their businesses on track, keep things fun!

Basic Qualifications

  • 2+ years of senior level leadership support, or 1+ years of Amazon experience

  • High school or equivalent diploma

  • Experience with Microsoft Office products and applications

  • Experience with executive level calendar management

Preferred Qualifications

  • Experience in a fast-paced, high-tech company

  • Experience managing multiple calendars

  • Excellent organizational, communication, and interpersonal skills

  • Proficient in calendar management, event planning, and project coordination

  • Strong attention to detail and the ability to multitask effectively

  • Comfortable working in a fast-paced, dynamic environment

  • Proactive and solutions-oriented mindset

  • Proficient in Microsoft Office suite (Outlook, Word, Excel, PowerPoint)

Our compensation reflects the cost of labor across several US geographic markets. The base pay for this position ranges from $50,000/year in our lowest geographic market up to $107,100/year in our highest geographic market. Pay is based on a number of factors including market location and may vary depending on job-related knowledge, skills, and experience. Amazon is a total compensation company. Dependent on the position offered, equity, sign-on payments, and other forms of compensation may be provided as part of a total compensation package, in addition to a full range of medical, financial, and/or other benefits.
