The Department of Neurological Surgery has an outstanding opportunity for a full-time (100%) Clinical Research Manager who will work on the Indian Health Services Dementia Training and Education Resource (IDTER) project training grant, within the departmental research providing clinical engagement opportunities. This dynamic position will be responsible for all aspects of startup, implementation, and overall operations for the training implementation withing Indian Health Services (IHS). The IHS is a federal agency within the Department of Health and Human Services. The purpose of the IHS is to raise the physical, mental, social, and spiritual health of American Indians and Alaska Natives to the highest level. IHS strives to ensure that comprehensive, culturally appropriate health services are accessible to Native communities, reducing health disparities.

DUTIES AND RESPONSIBILITIES Clinical Research Development and Program Management:

  • Develop and manage detailed protocols for all aspects of project start up and direct implementation

  • Oversee overall design with trackable adjustments due to unique and unexpected needed adaptations

  • Establish and monitor annual timelines and expected deliverables by setting monthly goals and expectations.

  • Ensure national training design covers site-specific needs, characteristics, accommodations, and culturally appropriate adaptions

  • Lead key meetings with the leadership team, including weekly status reporting, training planning and development team, all annual project events

  • Planning for: Training development, annual conference, community site engagement

  • Work with the IT staff on provision of services and follow up

  • Establish and manage a detailed timeline for contract deliverables, ensuring all team members are aware of upcoming deadlines.

  • Proactively communicate and enforce internal deadlines well ahead of submission dates.

  • Failure to meet these deadlines may result in severe consequences, including but not limited to forfeiture of funding, and reduced future grant opportunities.

  • Supervise the development of the training curricula, manuals, web-based content, syllabi, marketing materials, and written materials and graphics.

  • Be the community liaison to ensure materials are vetted to be regionally and culturally appropriate.

  • Ensure compliance with sponsor, federal, state, and university guidelines and regulations and meeting reporting requirements issued by sponsors.

  • Manage the day-to-day operations including:

  • Initial and continued project process, including and negotiations, scientific review committee submission, IRB (Institutional Review Board) submission, and other relevant regulatory submissions

  • Working with training and clinical partners to ensure all protocol requirements are met

  • Overseeing implementation of outcome protocols, record retention and compliance requirements

  • Assisting faculty with data analysis and financial decision?

  • Facilitate final reports, documentation, and study close-out process

  • Oversee the ongoing fiscal health of programs by maintaining positive budget balances across funding years, proactively identifying and addressing potential financial challenges to ensure long-term sustainability.

  • Lead the development of comprehensive budgets for all training programs, ensuring alignment with departmental and organizational financial goals.

  • Collaborate closely with the department’s fiscal team to monitor and manage spending, providing strategic insights and detailed financial updates to Project Directors.

  • Utilize clinical skills engage with physician and administrative leadership to support training progress and ameliorate issues with training design and implementation.?

  • Use problem-solving and interpersonal skills to assist with organized process improvement and troubleshoot issues and provide solutions.Staff Supervision and Training Management:

  • Directly manage and supervise project staff, including research coordinators, research assistants, IT and communication staff.

  • Responsible for recruitment, selection, training, merit and compensation review, performance management, regulatory compliance, and staff development.

  • Develop and maintain administrative team procedures with the goal of standardization, increased efficiency, and compliance with institutional guidelines.

  • Manage the process to monitor study/contract patients and interact with clinical providers to ensure patient safety and protocol adherence.

  • Provide training to faculty and staff on best practices to manage the pre-and post-award processes.?

  • Provide ongoing training and written materials to PIs, administrative and research staff regarding policies, procedures, regulations, and identified problem areas.? In addition, share the updates with the group as needed.

  • Develop and maintain close relationships with both internal and external partnersRevenue Cycle and Financial Risk Management:

  • Ensure grant and contract operational and deliverable requirements are met.?

  • Work closely with the post-award team to provide frequent revenue projections and expenditures, based on training contract terms. Monitor funding to ensure faculty and staff will be adequately funded.

  • Manage the comprehensive review process of all funding information related to training sites, including site budgets, protocols, contracts, and related documentation.

  • Manage the submission of the eGC1s with the Administrative Business Center (ABC) team in accordance with OSP (Office of Sponsored Programs) requirements and deadlines.

  • Provide strategic, intellectual, and technical assistance to faculty and staff on clinical training cycle policies, compliance, and regulatory matters.Other Duties as Assigned: MINIMUM REQUIREMENTS

  • Master’s degree in Social Work, Public Health, or other health related field

  • At least 5 years of experience directly managing federally funded research studies or training projects

  • At least 5 years of experience supervising staff successfully Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration. ADDITIONAL REQUIREMENTS

  • Experience with Investigator-initiated and cooperative training projects

  • Creative and solution-focused problem-solving skills

  • Excellent written and oral communication, ability to effectively communicate with diverse audiences and patient populations

  • Excellent organizational skills and attention to detail

  • Demonstrated successful track record of prioritizing competing demands to successfully meet deadlines and project milestones

  • Knowledge of university research-based budgeting

  • Experience with writing clinical and community reports or similar documents intended for public consumption

  • Ability and willingness to work well in a fast-paced and dynamic environment, absorb added information quickly, and contribute meaningfully to the development and execution of projects DESIRED QUALIFICATIONS

  • 10 yrs.+ experience in leading multi-site research studies or training programs

  • Thorough knowledge of IRB and HIPAA regulatory requirements for the conduct of research
