The College of Engineering is looking for two Advancement Coordinators. These are full-time, permanent, union-contracted positions.

The Advancement Coordinators are critical positions on the College of Engineering’s Advancement team, responsible for a variety of activities that support the College’s strategic priorities and fundraising goals. Reporting to the Executive Administrative Specialist, the Advancement Coordinators will work collaboratively with teams across the Engineering Advancement Team to help ensure the College’s philanthropic and reputational goals are met. The Advancement Coordinators should be able to adapt to changing business needs in the unit, including taking on new responsibilities, as necessary, to support the success of the overall team.

What You Will Do:

• Provide high-level calendar and administrative support and project management for the College’s Advancement leadership team. • Manage the fast-paced schedule of the College’s Advancement leaders, including scheduling complex, issue-sensitive meetings; arranging locations; gathering and distributing pertinent information; and evaluating the need to reschedule, postpone or relocate meetings based on changing priorities and emerging issues. • Support key strategic programs critical to the College, including the Dean's Advisory Board, Diamond Awards, and the identification, cultivation, solicitation and tracking of prospective donors. • Support stakeholder visits, meetings and events, including researching and drafting briefings, coordinating calendars and supporting communications and logistics. • Plan, organize and schedule recurring and ad hoc team meetings, activities and events, including coordinating all logistics and providing day-of event support. • Support the College’s Advancement-related events, such as campus visits, private lunches and dinners, lab tours and departmental graduation events. • Provide day-of support for larger College of Engineering events and activities, including the Diamond Awards Gala, Scholar-Donor Lunch and Discovery Days. • Coordinate and support hiring, orientation and training processes for new employees. • Provide specialized support for the production and distribution of the College’s alumni magazine and peer newsletters; oversee students preparing annual peer list update. • Support key donor stewardship activities including gift reports, acknowledgment letters, stewardship collateral and holiday card mailing. • Coordinate and support hiring processes across the organization by scheduling candidate interviews with multiple internal stakeholders. Work with the new employee’s supervisor to schedule orientation and training.

MINIMUM REQUIREMENTS

High school diploma or equivalent AND two years of office or administrative support experience OR equivalent education/experience.

· Ability to manage numerous competing priorities and adjust to a complex, rapidly evolving business environment. · Ability to work and communicate effectively with a variety of internal and external partners, including donors, volunteers and faculty. · Experience providing excellent customer service. · Demonstrated creativity, organizational ability and attention to detail. · Strong project management and planning skills. · Proficient in Microsoft Office, experience with project management tools such as Asana and a willingness to learn new systems and tools. · Reliable transportation for local travel and willingness to travel, when necessary. · Ability to lift 20 pounds regularly and up to 40 pounds occasionally for event setup and tear down.
