First Reformed Church Schenectady Administrative Assistant in Schenectady, New York

The Administrative Assistant at First Reformed Church serves as the welcoming committee to visitors and as the primary communicator for church members. Preferred candidates for this role will possess at least two years of prior office experience, a friendly demeanor, attention to detail, communication skills, and a strong desire to assist others. Primary Responsibilities Generate email and print communications and publications (50%)-Collaborate with church leadership, volunteers, and congregants for content generation-Proofread all media publications, editing for accuracy, grammar and cadence-Communicate clearly with church members and staff to ensure timely and comprehensive distribution of church happenings and informationFront Desk Administration (40%)-Be a welcoming presence at the front desk during scheduled office hours-Answer and timely return incoming calls, emails, and mail -Answer the front door, greet visitors, and direct service suppliers-Promptly alert the pastor to any sensitive issues that may arise, or that may have implications for the church's mission, reputation, or pastoral careClerking (10%)-Compile and prepare an agenda for all Consistory and Congregational meetings-Attend and record minutes for all Consistory and Congregational meetings (evenings, monthly)-Keep updated records of church membership and events (baptisms, marriages, deaths)Additional Responsibilities-Attend weekly in-office staff meetings -Meet regularly with supervising Business Manager for supervision and collaboration -Assist volunteers with the processing of timely bulk mailings -Provide administrative support to Office Staff as needed-Complete regular and required compliance trainings (i.e. sexual harassment) to comply with all Federal and State guidelines-Other duties as assignedQualifications-2+ years of previous administrative/professional office experience-Strong proficiency in Microsoft Office Suite-Excellent written and verbal communication skills -Understanding and respect for confidentiality regarding sensitive information -Warm and outgoing demeanor, supporting our commitment to DEI-Strong organization and time management skills, attention to detail-Adaptability, able to work both independently and collaboratively with a variety of personalities-Experience with editing, proofreading, and graphic design preferred-Must conduct oneself in a manner which reflects positively on the church and its leadership-Must have an understanding of and appreciation for the Covenant of First Reformed ChurchBenefits-Hourly compensation to be paid semi monthlyPaid time off (PTO)-All benefits afforded to part-time workers under Federal and New York State lawsWe are an equal opportunity employer.
