The role serves as the main point of contact for customers and vendors, handling administrative, financial, and operational duties. Examples of job responsibilities can be found below:

Unit Activities Support:

  • Prioritize work effectively by planning, coordinating, and overseeing work for the Print Shop & Mailroom. This position is responsible for the county's centralized printing & mailroom activities.

  • Maintain production levels to ensure timely delivery of quality products, practicing good time management techniques.

  • Serve as Mail & Print’s emergency management representative for before, during and after events; logging and verifying timesheets, creating work orders, logging work order numbers and providing required paperwork.

Fiscal:

  • Prepare and review accurate comprehensive reports; i.e.: statistical, financial, and operational reports.

  • Perform financial & business data analysis.

  • Create and maintain reports, logs, and account audits, including expenditure and vendor product information and reports to assist in managing agreement thresholds.

  • Utilize charts and graphs in performing spend analysis.

  • Daily track, create, process, document, and close purchase requisitions (PR), purchase orders (PO), change orders (C/O), and vendor invoices.

  • Work with vendors to resolve invoicing, purchase orders and other related procurement issues.

  • Prepare, process, and submit monthly billing. This includes receiving and depositing payments.

  • Responsible for and manage purchasing card (P-Card) expenditures, collecting & verifying accuracy of all p-card receipts, invoices and charges. Must ensure p-card policies and procedures are met, exercising good stewardship of county resources.

  • Assist with handling Print Shop & Mailroom equipment and service contracts (e.g., Xerox).

  • Assist in the review of core service and analysis of cost effectiveness for contractual services.

Customer Service Administrator:

  • F unction as the key customer contact for the unit , meeting & communicating with customers and vendors.

  • Respond appropriately to inquiries and provide adequate information.

  • Provide consultation to control print & mail costs and encourage sustainable options.

  • Handle difficult customers & situations and display initiative to contact customers on difficult issues.

Supply Inventory Control:

  • Order, track, maintain, and monitor inventory of all supplies.

  • Supply purchasing as needed.

  • Plan for purchases by monitoring and tracking budget expenditures, as well as allocating funds appropriately and accurately.

Production Operations:

  • Operate equipment, which includes but is not limited to the digital copier, paper folder, drill press, cutter, padding press, tabber, inserter, and postage meter machines.

  • Assist in development, coordination, & implementation of more efficient & effective work processes.

  • Keep current of any materials and new developments that might be useful to Mail & Print processes and procedures.

About the Schedule

Work Hours:

  • Full-Time, 40 hours per week.

  • Monday - Friday, 7:30 a.m. to 4:30 p.m. ( no weekends! )

About You

Minimum Qualifications:

  • Associate's degree from an accredited college or university.

  • Four to six years of administrative, mailroom, and/or print services experience.

  • Year-for-year experience may substitute for the college degree.

  • Valid Florida Driver's License by date of hire.

Subject to Passing Substance Screening: This position is subject to passing a pre-employment substance screening. An applicant who fails to pass a required drug screening test shall be disqualified from employment in any class for a period of five (5) years.

Physical Demands: Employees must occasionally lift and/or move more than 50 lbs. It is required to use a handling device (dolly, cart, etc.) or by working with another team member to life and/or move excessive poundage of 50-plus pounds.

Starting Pay: $23.33/hr
