JOB TITLE: SALES SUPPORT COORDINATOR

LOCATION: Santiago - On site

SCHEDULE: 7:00 am -4:30 pm Mon To Thu / 7:00 am -3:30 pm Fri

GENERAL DESCRIPTION OR PURPOSE OF JOB: This position is responsible for securing and processing bids from schools. This includes communicating with the sales force, pricing all product categories, determining commission structures, researching competition, and pricing, and maintaining a spreadsheet with bid history. Follow up with school purchasing departments, or school websites for results and tallies of bids. Work with sales reps on order issues, commission adjustments, shipping charges, and expedites.

RESPONSIBILITIES / ESSENTIAL FUNCTIONS:

1- BID COORDINATION AND TRACKING:

  • Recording receipt of bids on a spreadsheet in order by the due date- the process by bid due date- important to keep track to meet bid due date if bids will be rejected

  • Review bids for items we can bid on- and confer with the sales rep and/or his sales manager for pricing/discounts and extreme competitive situations; obtaining pricing approval from management.

  • Fill out bid forms, with agreed pricing, including anything the bid requires such as the bid cashier’s check, Proof of Insurance, CDs or Flash drives, and signature & stamp of a notary when needed. Mail out to us via mail, FedEx- or online per the directive on the bid.

  • Keeping records of bids submitted by scanning bid information and recording it in Sales Logix for our information.

  • Follow up with schools for bid tabs or results if they do not provide them at the award of bid.

  • Keep records of sales that go through cooperatives that we have contracts with, such as BuyBoard, KPEC (Kentucky Coop), and others. Coordinate payment with Accounts Payable.

2- SALES/CUSTOMER SERVICE SUPPORT:

  • Help resolve order issues and field questions from customers

  • Order entry and change support, assist reps with setting up new accounts

  • Assist with commission questions, order pricing questions, and credit approvals. Process all price exceptions.

  • Manage Tradeshow requests

REQUIRED:

  • High School Diploma

  • Above-average keyboarding skills

  • Excellent communication skills

  • Ability to work under tight deadlines

  • Financial experience

  • Bi-lingual

  • Problem-solving

  • Phone skills
