Description

We are offering a contract to hire employment opportunity for a Front Desk Coordinator at a CPA firm in Santa Barbara, California. This role is pivotal in our transition to a paperless environment and involves handling telecommunication, managing electronic documentation, and coordinating front desk activities. Responsibilities:

• Handle a 2-line phone system, ensuring efficient communication within and outside the company

• Receive and process credit card payments, maintaining a high level of accuracy and confidentiality

• Spearhead the transition to electronic documentation, contributing to our goal of becoming paperless

• Utilize administrative assistance skills to support various office functions

• Deliver excellent customer service, addressing inquiries and resolving issues promptly

• Conduct data entry tasks, ensuring all information is accurate and up-to-date

• Use Microsoft Excel, Outlook, and Word to perform various tasks and manage data

• Organize files and documents, maintaining a tidy and efficient workspace

• Leverage interpersonal skills to build strong relationships with team members and clients.

Requirements

• Proficiency in Microsoft Office Suite including Microsoft Excel, Microsoft Outlook, and Microsoft Word

• Experience in administrative assistance and data entry tasks

• Ability to answer multi-line phone system efficiently

• Excellent customer service skills and interpersonal skills

• Experience in providing concierge services

• Capable of organizing files effectively and maintaining a tidy workspace

• Able to manage multiple tasks and prioritize effectively

• Detail-oriented and able to maintain a high level of accuracy

• Excellent written and verbal communication skills

• Strong problem-solving skills and the ability to make decisions under pressure

• Ability to work independently as well as part of a team

• Flexibility to work during different shifts, including weekends and holidays if required

• High school diploma or equivalent qualification. Higher education or certifications in relevant fields would be considered an advantage.

• Ability to work overtime during tax season
