  • Associate’s degree in any field, degrees related to administration, business, accounting, cultural or natural resources fields will be given higher consideration.

  • Strong written and verbal communication skills to produce reports, complete assigned tasks, follow instructions, handle vendor contracts, provide customer/client service, among other tasks.

  • Strong interpersonal skills to interact positively with all employees and clients.

  • Proficiency with PCs and software such as Excel, Word, and Accounting Software such as SAP or Quicken.

Preferred Qualifications

  • Bachelor’s Degree in any field, degrees related to administration, business, accounting, cultural or natural resources fields will be given higher consideration.

  • Additional certifications or post-graduate education with a focus on business administration, accounting, office manager certification, project management, human resources, labor relations, organizational development, or related areas; relevant work experience may be a substitute.

  • Proficiency and experience in using SAP or other human resource and contract tracking systems.

  • Demonstrable experience in administration with grant or contract research groups, especially within a university setting or cultural resource/environmental firms.

Job Description

Texas State University’s Center for Archaeological Studies ( CAS ) seeks a competent and motivated person to serve as Research Coordinator to support our research center as we go through a period of growth and expansion. CAS’s primary goal is to provide students with real world archaeological experience, and we accomplish this by obtaining grants and contracts. We currently have six full-time and as many as 15 part-time student employees. Additionally, we are growing our presence on military installations and by mid-summer we will have 14 full-time employees engaged in natural and cultural resources investigations at military installations outside Texas.

The Research Coordinator will support CAS’s leadership and oversee pre and post award grant and contract administration for multiple, ongoing, concurrent, internal, and external research projects; in charge of accounting, invoicing, purchasing and restocking; and facilitating hiring and onboarding of staff into CAS or onto grant/contract positions. The Research Coordinator position provides support services, activities, and programs to enhance CAS’s success and oversight of our research projects and agenda. The successful candidate will work with and be sensitive to the needs of a diverse workforce. The position reports to CAS’s director and leadership team.

Job Duties

  • Provide pre-award support to Principal Investigators in research proposal development and submission and budget review.

  • Provide post award fiscal oversight, review expenditures, reconcile accounts, research budgets, prepare financial reports, and conduct day-to-day accounting activities.

  • Monitor post award activities to ensure compliance with allowable costs, cost transfers, budget adjustments, and reporting requirements. Identify, monitor, and resolve account issues.

  • Initiate accounting transfers, costing allocations, and provide cost share information.

  • Coordinate purchasing and contracting for accounts and ensure vendor payment.

  • Invoice for curation services, update curation revenue spreadsheet when invoices are sent and payments are received and distribute costs for curation credit card payments.

  • Initiate travel requests and process reimbursements for assigned faculty, students, and staff.

  • Serve as liaison with the Office of Research and Sponsored Programs ( ORSP ).

  • Provide guidance regarding grant administration policies and procedures and resolve related problems.

  • Provide oversight of hiring functions for the department, including position request/salary review, posting/advertising, preparing hiring matrix, application review/scoring, background and reference checks and preparing hiring recommendations for Human Resources.

  • Oversee Human Resources related matters including personnel change requests (PCRs), maintaining confidential personnel records, timekeeping, approve hourly payroll, and payroll.

  • Complete new employee onboarding including I-9 verification, employment verification, background checks, and meet deadlines for timesheet submission if applicable.

  • Advise Principal Investigators on financial and HR policy.

  • Monitor p-card and fuel card purchases to ensure compliance with university rules and procedures.

  • Ensure department vehicles are maintained and repaired.

  • Submit department requests for building maintenance and repairs.
