Job Description
The Administrative Assistant II provides administrative and general clerical support to the management and staff within a specific division, department, or unit.
Job Duties
Oversee and manage routine operations of the department.
Manage calendars and coordinate meetings.
Answer the telephone, screen and transfer calls, take messages and refer callers to other offices as needed.
Greet, screen, and route office visitors as needed.
Establish and maintain an effective filling system, and review files for completeness.
Prepare travel requests, applications, vouchers and compliance forms.
Review purchase orders and invoices as well as inspect goods for accuracy (when applicable) and submit invoices for payment to accounts payable.
Maintain and inventory of office supplies and order new supplies as necessary.
Assist in the preparation of various Division activities and events.
