Summary The Business Manager manages staffing, administrative operations, and health system data for integrative health, clinical and wellness program and related organizational processes. The Business Manager evaluates Integrative Health Service operations, particularly administrative processes; identifies problems and inefficiencies; and develops recommendations for the solution of highly complex administrative problems and conflicts. Responsibilities This position is located at the San Francisco Fort Miley Campus and is assigned to the Integrative Health Service, SFVAHCS. This detail is not a virtual/remote position, and the duration of the detail is up to 90 days, with an option to extend if necessary. The Program Specialist is responsible for providing a wide range of administrative and leadership support for day-to-day functions of the San Francisco VA Integrative Health Service. MAJOR DUTIES AND RESPONSIBILITIES Supervise MSAs and administrative staff. Oversee daily operation of the Advanced Medical Support Assistants and administrative Program Specialist, ensuring that agency policies and priorities are being followed. The incumbent gives advice, counsel, and instruction to employees on both work and administrative matters. Coordinates recruitment and hiring of staff, interviews candidates for Integrative Health positions, and coordinates onboarding for Integrative Health staff, including identifying and providing for training needs. Interpret program and budget directives, formulates instructions, and supports implementation of necessary activities for compliance. Analyze plans to determine the impact of clinical and wellness program changes on administrative processes and the feasibility of making modifications to accomplish cultural and structural changes. Oversee administrative programming essential to the Integrative Health Service, including space management for clinical and administrative operations and financial management. Management or delegation of management of all administrative suspenses, oversee payroll operations within the service, oversee preparation for all audits and compliance with applicable regulation and standards, and other administration leadership duties as assigned. Develop efficient processes for effective clinic flow, identify ways to coordinate patient flow through interdisciplinary clinics across multiple provider visits, resolve conflicts in consult management by optimizing processes and communication, and modify administrative processes to ensure adherence to consult management timelines, to improve access, to reduce administrative burden, and to improve patient and provider experience. Duties also include preparing reports and recommendations for Executive Leadership, VISN, and national offices based on data pulled from national dashboards and data depots. Attend regular meetings as the Integrative Health representative to support Business Continuity of the Integrative Health service and coordinates with fellow managers, supervisors, and other administrators. Participate in health care system-wide discussions on business operations and business continuity as it relates to Integrative Health. Provides customer service and manages routine communications with internal and external stakeholders, including leadership team members and administrative officials from other services. Carries out other administrative duties (e.g., supply ordering and approving timecards) as assigned Work Schedule: Monday- Friday 8am - 4:30pm Telework: VA supports the use of telework as a way to help attract and retain talented individuals in public service, increase worker productivity, and better prepare the agency to operate during emergencies. Specialized experience includes The position requires excellent relational and communication skills; advanced knowledge of and experience with computers; oral and written communication skills and the ability to work with others. Part-time experience will be credited on the basis of time actually spent in appropriate activities.
