Robert Half Front Desk Coordinator in San Diego, California

Description

We are seeking an organized and customer-focused Front Desk Coordinator to manage the daily operations of the front desk. As the first point of contact for clients and visitors, you’ll play a key role in creating a welcoming and efficient office environment. The ideal candidate is a proactive multitasker with excellent communication skills and a positive attitude.

Key Responsibilities

  • Customer Interaction:

  • Greet and assist clients, visitors, and staff with professionalism and warmth.

  • Handle incoming phone calls, direct them to the appropriate departments, and take accurate messages when necessary.

  • Address customer inquiries and ensure they are resolved promptly.

  • Scheduling and Coordination:

  • Schedule service appointments and coordinate with HVAC technicians and field staff.

  • Manage and maintain calendars for office staff and leadership.

  • Confirm appointments and follow up with clients as needed.

  • Administrative Duties:

  • Maintain a clean and organized front desk area and reception space.

  • Assist with data entry, recordkeeping, and updating customer files.

  • Process incoming and outgoing mail, packages, and deliveries.

  • Office Support:

  • Monitor and replenish office supplies.

  • Support the administrative team with special projects and tasks as required.

    Requirements

  • Previous experience in a front desk, administrative, or customer service role.

  • Strong organizational and multitasking abilities.

  • Excellent verbal and written communication skills.

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with scheduling software.

  • Ability to work effectively in a fast-paced environment.

  • Experience in the HVAC or trades industry is a plus.
