We are seeking a skilled Accounts Payable Specialist to support our finance team on a temp-to-hire basis. Position Overview:

The Accounts Payable Specialist will handle the full cycle of accounts payable tasks, ensuring the accurate processing of vendor payments, grant-related expenditures, and general operational expenses. The ideal candidate will have a deep understanding of non-profit accounting, including handling restricted funds and complying with donor and grantor requirements.

Key Responsibilities:

Invoice & Payment Processing:

  • Review and process a high volume of vendor invoices, ensuring correct coding to the appropriate grants, programs, or expense categories.

  • Match invoices with purchase orders and ensure proper documentation and approvals before payments.

  • Process vendor payments via checks, ACH, and wire transfers, ensuring timely and accurate disbursements.

Grant & Program Fund Tracking:

  • Ensure all expenses related to grants and programs are accurately allocated and comply with funding restrictions.

  • Collaborate with program managers to monitor and reconcile grant expenditures.

Vendor Relations:

  • Maintain strong relationships with vendors, handling inquiries, payment discrepancies, and ensuring accurate account reconciliations.

  • Manage new vendor setup and ensure proper documentation is maintained for auditing purposes.

Reconciliation & Reporting:

  • Reconcile accounts payable balances with the general ledger on a monthly basis.

  • Assist with month-end and year-end closing procedures, preparing accounts payable reports for management review.

  • Provide support for audits and reporting by preparing necessary documentation.

Compliance & Policy Adherence:

  • Ensure compliance with non-profit accounting standards, including donor restrictions, grant requirements, and organizational policies.

  • Assist in maintaining proper records of restricted and unrestricted funds to ensure accurate financial reporting.

    Requirements

Qualifications:

Education:

  • Associate’s or Bachelor’s degree in accounting, finance, or a related field preferred.

Experience:

  • Minimum of 2 years of accounts payable experience, preferably within a non-profit organization.

  • Experience with fund accounting and handling restricted vs. unrestricted funds is a plus.

Technical Skills:

  • Proficiency in accounting software (e.g., QuickBooks, Sage, or similar) and experience with grant management systems is highly desirable.

  • Strong Microsoft Excel skills (pivot tables, VLOOKUPs) preferred.

Soft Skills:

  • Strong attention to detail and accuracy in processing invoices and payments.

  • Excellent organizational skills with the ability to manage multiple tasks in a deadline-driven environment.

  • Strong communication skills, both written and verbal, to collaborate with internal teams and vendors.

Work Environment:

This position is based in the organization’s main office and will work closely with both the finance and program teams. The role offers a mission-driven, collaborative environment where your work directly supports the organization’s impact on the community.
