Job Summary

Provides administrative and financial support of department’s research grants and contracts.

Responsibilities

With basic oversight from a supervisor, this position should successfully complete tasks that may include:

  1. Coordinating details such as purchasing activities, invoicing, document control, account coding for financial transactions, and overseeing the maintenance of departmental records.
  2. Preparing income statements, financial reports, and cost projections.
  3. Monitoring budgets and expenditures to ensure limitations are not exceeded.
  4. Making budgetary recommendations and adjustments.
  5. Assisting investigators with the monitoring and management of research expenditures and grant reporting requirements.
  6. Assisting with grant and contract proposal preparation, submission, and tracking.
  7. Reviewing changes in university policy, federal regulations, and contractual requirements and coordinating implementation procedures.
  8. Serving as a liaison between the research team and other university departments or units.
  9. Working with colleagues and supervisor to complete and track assignments.
  10. Effectively interfacing with internal and external professionals.

This position requires strong time management, organizational skills, attention to detail, and problem-solving skills. Representative challenges of this position include organizing and prioritizing multiple projects and determining the best course of action and resources needed to complete a project or address a problem. Successful applicants will possess the necessary skills to work with a variety of different people and establish and maintain professional and effective working relationships.

Minimum Qualifications

Bachelor’s degree in Business, Finance, or a related field, or equivalency (one year of education can be substituted for two years of related work experience). Three years experience that includes specific involvement in maintaining complex financial records, developing and monitoring departmental budgets and preparing related reports; and demonstrated organizational, human relation and effective communication skills.

Preferences

  • Familiarity with University research administration pre- and post-award systems, processes, and policies
  • Familiarity with common sponsor systems, processes, and policies required for proposal submission
  • PeopleSoft experience
  • Proficiency with Excel for data processing and budgeting (e.g., formulas, pivot tables)
  • Successfully adjusts to constant change and handling multiple tasks
  • Excellent written and oral communication skills
