Job Summary

Under minimal supervision, the Administration Manager is responsible for planning, coordinating and managing all Human Resources (HR) sponsored recognition programs and related events including, but not limited to, Employee Appreciation Day, Employee Service Awards program and Staff Excellence Award programs.

The Administration Manager is also responsible for planning, organizing, directing and/or controlling office management, financial oversight and other administrative functions of HR pertaining to areas including, but not limited to, financial data/records maintenance, inventory, supply management, telecommunications, equipment maintenance, annual statistical reporting, and general office support. This position is also responsible for establishing and maintaining controls to insure adherence to accepted accounting principles and for providing timely and accurate departmental information.



• Plans and manages HR sponsored recognition programs and events (Employee Appreciation Day, Employee Service Awards, Staff Excellence Award Programs, etc.) including planning, scheduling, coordination and logistics. This also includes planning internal HR retreats and events.

• May participate in University-wide and internal committees to establish customer service standards, budget management standards, and administrative plans and policies.

• Process a variety of time-sensitive documents, resolves a variety of routine to complex HR issues, compile reports, maintain statistics, develop and recommend office protocols, and assisting in department projects and initiatives.

• Forecasts, develops, and implements applicable departmental policies, procedures, budgetary goals, and objectives consistent with University of Utah’s Rules and Regulations.

• Markets and promotes new and existing programs and services to internal and external customers.

• Assists with the HR departmental budget, and maintains records, reports, accounts, and billings.

• Researches and prepares necessary revenue, expense, payroll, journal entries, and other accounting procurements and/or corrections.

• Audits accounting systems, reconciles ledger, and resolves technical problems or recommends solutions when appropriate.

• Responsible for accounts receivable and payable and other financial functions.

• Coordinates details such as purchasing activities, employee travel, personnel actions, document control, and account coding for financial transactions and overseeing the maintenance of department financial records.

• Ensures accounting processes operate within department, University, state and federal accounting guidelines.

• Develops departmental strategies consistent with the departments’ continuous quality improvement program.

• Assist the Emeritus Club with their operations.


• Proficient in use of: University Accounting/Budget policies, accounting principles, Microsoft Office Suite including Excel, Word, Visio & Outlook.

• Excellent written and verbal communication skills.

• Handles the administrative matters regarding day-to-day operations and procedures of a University department.

• Ensures customer satisfaction by analyzing complaints, concerns and suggestions and providing appropriate follow-through.

• Facilitates cooperative and collaborative community and institutional relationships.

• Markets and promotes new and existing programs and services to internal and external customers.

• Makes budgetary recommendations and adjustments.

• Maintains accounts and billings.

• Monitors budgets and expenditures to ensure limitations are not exceeded.

• Develops departmental strategies consistent with the assigned department’s continuous quality improvement program.

Minimum Qualifications

Bachelor’s degree in a related area or equivalency (2 years related work experience may be substituted for 1 year of education). Four to six years of progressively more responsible management experience. Background knowledge of hiring department’s area of specialization in order to analyze, plan and draw conclusions for recommendations to superiors. Demonstrated leadership skills in planning and directing employees and processes in order to effectively monitor and develop subordinates and to ensure the smooth operation of department.

Master’s degree in a related area may be preferred.
