Job Summary

Support the institute’s mission by organizing a variety of events, managing student, industry, and community engagement, and assisting in the development and expansion of programs. This role involves collaborating with the executive director, maintaining relationships with industry partners, overseeing student leaders, and managing grants, scholarships, and budgets. The coordinator will also maintain institute records, track expenditures, and contribute to overall operations, ensuring smooth execution of activities and initiatives that promote the institute’s success.

Responsibilities

  • Organize and manage a wide range of institute student, industry, and community seminars, workshops, summits, luncheons, and other gatherings that support programmatic offerings and promote the institute’s mission.

  • Act as a liaison for students, connecting them with the necessary resources to successfully carry out their responsibilities and activities within the hospitality institute.

  • Collaborate with the executive director to develop, launch, and expand new programs and initiatives that advance the institute’s strategic goals.

  • Coordinate scheduling and engagement efforts with industry and community partners, maintaining strong relationships and ensuring regular interaction with the institute.

  • Promote the institute and its programs to students, industry leaders, and community partners through educational outreach and engagement.

  • Supervise institute student ambassadors and other student leaders, ensuring they are effectively executing their roles and supporting the institute’s mission.

  • Manage the institute’s grants and scholarships process, including promotion, solicitation, evaluation, awarding, and fund distribution, while ensuring compliance with university and donor guidelines.

  • Monitor and evaluate the progress of students who receive grants or scholarships, ensuring accountability and successful outcomes.

  • Document and share institute achievements and student success stories, collaborating with marketing and public relations colleagues to highlight these accomplishments through newsletters, social media, donor updates, and other communication channels.

  • Track and manage institute expenditures, including event costs, operating expenses, and scholarship and grant disbursements, ensuring all spending is within the approved budget.

  • Oversee the maintenance of institute records, lists, and files, prepare related reports, and participate in evaluating the institute’s overall effectiveness.

  • Record meeting minutes and action items during meetings and conduct basic follow-up as needed.

  • Assist the executive director with additional duties as assigned, contributing to the overall success of the institute.

Minimum Qualifications

Requires a Bachelor’s degree in a related area of assignment or equivalency (one year of education can be substituted for two years of related work experience) and 4 – 6 years of progressively more responsible management experience. Background knowledge of assigned department’s area of specialization in order to analyze, plan and draw conclusions for recommendations to superiors. Demonstrated leadership skills in planning and directing employees and processes in order to effectively monitor and develop subordinates and to ensure the smooth operation of department. Completion of provided supervisory training within one year of employment may be required. Master’s degree in a related area may be preferred.

Preferences

Five years of hospitality industry experience across multiple industry segments and various roles is preferred. Three years of supervisor, manager, or sales department experience in the hospitality industry is also preferred.
