FACILITIES MANAGER

The Leonardo seeks a Facilities Manager to join our team and mission to fuse science, technology, and art in experiences that inspire creativity and innovation in people of all ages and backgrounds.

OVERVIEW  

The Facilities Manager is responsible for all aspects of the maintenance and support of The Leonardo’s building and grounds, ensuring all visitors to the museum enjoy a clean facility. The Facilities Manager oversees the building and its mechanical, HVAC, security, landscaping, safety, emergency preparedness, and janitorial functions, ensuring they are always in good working order and functioning, liaising with the City as needed. Other responsibilities include project managing contractors for building projects, interfacing with the exhibits team on fabrication, venue preparation for traveling exhibits, and installs; and with the hospitality team on lighting and other needs.

The Facilities Manager should focus on using best business practices to improve efficiency, by reducing operating costs while increasing productivity. They will be technically competent, with excellent problem-solving, analytical, and managerial skills. Interpersonal and communication skills are essential due to intensive collaboration with all departments, vendors, and the City. The work is varied, resulting in a need for organization, time management, and the ability to handle a complex workload. They take great pride in ownership and resolve any facility-related issue proactively and professionally.

  • Pay Rate : $50,000 - $60,000 per year, commensurate with experience

  • Schedule : Monday through Friday, 9am-5pm; Evening and weekend work may be needed to support in emergencies.

    WHAT YOU’LL DO DAY-TO-DAY:

    Facilities & Maintenance:

  • Oversee all aspects of operating the building and premises including mechanical, janitorial, landscaping, safety and security, emergency preparedness, providing support to The Leonardo staff, vendors, clients, and contract personnel

  • Identify and monitor critical deadlines, coordinate workflows, identify areas of concern or need, and ensure the satisfactory and timely completion of work by the Facilities Department and follow up on any deficiencies

  • Ensure that custodial / housekeeping services adhere to LEED requirements and result in a healthy, safe, and sanitary environment for staff and visitors

  • Assist with logistics for special exhibit shipping, loading and unloading, and install/de-install

  • Responsible for space utilization management, source and procure eco/LEED-friendly furniture and fixtures to support distribution and delivery, and maintain onsite and offsite storage of all printed materials, archives, supplies, furniture, and equipment

  • Responsible for facility equipment and major building systems, including HVAC, climate control, and security systems; In the case of equipment or systems failure, work to remedy those issues as quickly as possible, to ensure that visitors to the museum experience a clean facility and properly climate-controlled such as power/internet/telephone/HVAC outages

  • Implement a preventive maintenance program which will ensure all assets are labeled, tracked, and maintained in accordance with industry-recommended best practices, manufacturer's instructions, and museum internal policies and procedures

    Contractor Management

  • Interview, hire, train, and supervise museum building contractors (e.g., facilities, janitorial, security), ensuring the punctuality and smoothness of daily museum operations

  • Survey, select, monitor, and control vendors and contractors

  • Act as The Leonardo’s representative for all buildings and grounds work performed by outside agents

  • Perform quarterly evaluations of contractors

    Personnel:

  • Assist the executive management team and senior staff in developing and implementing strategic planning processes surrounding the buildings and premises.

  • Educate Leonardo staff on the proper use and care of its equipment and other facilities

  • Ensure that museum staff adheres to sustainable practices (e.g., recycling, reduced energy usage)

  • Interface with shipping companies and exhibit producers as needed

    Administration:

  • Develop, implement, and monitor the annual department operating budget and the budget for capital improvements, including work assigned to outside agencies

  • In coordination with the Finance department, review invoices, contracts, purchase orders, applications for payment, etc., and discuss any outstanding issues, questions, or conflicts with the Senior Operations and Exhibit Manager

  • Actively seek cost-saving opportunities and alternatives for the organization, calculating and comparing costs for required goods and services to achieve maximum value for The Leonardo’s money

  • Perform additional, related duties as needed

    WHAT IT TAKES TO SUCCEED:

  • Education :  High School Diploma / GED required; Bachelor’s degree strongly preferred, or equivalent knowledge and experience

  • Experience :  Minimum five (5) years of proven experience in facilities management required; Experience working with a facility owned and operated by SLC Corporation will be given extra consideration; Prior experience with a museum or non-profit is desirable

  • Certification / Licensure :  LEED (Leadership in Energy and Environmental Design) Certification preferred

  • Competencies :  Ability to work in a fast-paced environment; adhere to deadlines; demonstrate flexibility in meeting shifting demands and priorities; Supervisory skills and understanding of performance management and conflict resolution principles, able to lead others and translate skills through training and mentoring; A superior knowledge of physical building operations in a dynamic environment, including a working knowledge of centrifugal chillers, cooling towers, pumps, and BMS (Building Management Systems) controls; Knowledge of financial record-keeping practices and procedures such as data entry; Ability to interpret construction documents such as bid contracts, general conditions, agreements, specifications, and architectural drawings; Ability to establish and maintain effective working relationships with staff, vendors, and members of the public; Exercise tact and diplomacy at all times; Solid computer skills including basic proficiency in computer systems and data management (e.g., Google Suite, Slack); Alignment with The Leonardo’s mission, vision, and values
