JOB SUMMARY

The Athletics and Activities Program Supervisor performs a wide variety of duties to facilitate and support high school athletics and activities which include providing operational guidance and support to the assigned Area Director and school Athletic Directors. Key responsibilities include managing the recruitment, selection, appointment, and training of Volunteer Coaches, overseeing onsite programs, and ensuring compliance with volunteer records, personnel retention, and terminations. Ensure compliance by overseeing background checks and fingerprinting procedures for all district and school-based volunteer coaches. Effective communication with diverse individuals and groups, conflict resolution, and building positive relationships with students, parents, coaches, and other stakeholders are integral aspects of this role. This position requires periodic travel to various locations and flexibility in scheduling to accommodate evening and weekend team competitions and events to carry out the mission of the district's athletic program.

 

MINIMUM REQUIRED QUALIFICATIONS

All positions require selected candidates to be fingerprinted and successfully pass a criminal background check.  Additional minimum required qualifications for this position are:

  1. Bachelor's degree in Education, Educational Leadership, Recreation Administration, Sports and Recreation Management, Business Administration, or another related field, or a minimum of six (6) years of job-related equivalent experience
  2. Supervisory or management experience
  3. Experience with high school athletics or activities as a coach or in a leadership position
  4. Experience creating written documents, delivering presentations, and conducting meetings to inform and educate stakeholder groups.
  5. Valid Driver's License with evidence of insurability and reliable personal transportation
  6. Basic experience and proficiency using Microsoft Office Suite (Word, Excel, PowerPoint, etc.)
  7. Ability to operate standard office equipment, including phone, scanner, fax, and copy machine
  8. Speak, read, write, and present professionally, analyze, and interpret written and verbal communications in English

     

PREFERRED QUALIFICATIONS

These are examples of skills and experience that the best-qualified candidates may have.  Not having one or all of them does not disqualify any candidate from consideration.

  1. Master's degree in a related field
  2. Knowledge and experience implementing rules established by the Utah High School Activities Association (UHSAA)
  3. Experience in public education at the secondary level (grades 7-12) or public employment environment
  4. Knowledge of PowerSchool, Vector Solutions, Business Plus, Kronos, Aktivate, and Register My Athlete

     

ESSENTIAL FUNCTIONS & RESPONSIBILITIES

  1. Provides oversight, coordination, and programmatic support of athletics and activities programs and school and student clubs in collaboration with the assigned area director, principals, athletic directors, and volunteer coaches to ensure consistency of programming needs throughout the academic year and before each sports season 
  2. Provide support to athletic directors as needed to schedule and issue contracts for school athletic contests, ve ify and process compensation according to current contracts, arrange transportation for athletic contests, and ensure that athletic contests are appropriately supervised
  3. Attend Utah High School Activities Association (UHSAA) conferences and meetings, comprehend the UHSAA handbook, policies and procedures, and rules regarding stipend payments for volunteers 
  4. Develop athletics and activities programs pursuant to the district vision and carry out the mission of the district athletic program
  5. Ensure compliance with Title IX as it pertains to equal athletics opportunity; gather data, adhere to policies and procedures, monitor facilities; work collectively with district Title IX coordinator and deputy coordinators 
  6. Ensure compliance with student-athlete rules and regulations regarding safety during competitions, practices, and other team exercises both at their home campus and while traveling to events and competitions held elsewhere
  7. Work with cross-functional teams to gather and analyze information, identify, and resolve complex and multidimensional issues, and develop alternative approaches and ideas to skillfully problem-solve challenging situations to ensure successful oversight of events
  8. Manage the recruitment and onboarding of volunteers, including posting vacancy announcements, screening applicants, handling data entry, scheduling interviews, conducting orientations, and collaborating with Human Resources to facilitate the appointment of volunteer coaches; ensure compliance by overseeing background checks and fingerprinting procedures for all district and school-based volunteer coaches
  9. Complete regulatory tasks (e.g., collect required documentation, fingerprinting, badges, board reports, etc.) and verify that athletic personnel, and volunteers, are current and compliant with all district training requirements (e.g., Vector, Aktivate, and Register My Athlete), and conform to the Board, UHSAA, league policies and regulations, and state/federal laws governing athletic training regulations rules and reporting
  10. Attend sporting events at various locations throughout the district to ensure and verify that authorized volunteer coaches and leadership comply with district regulations; work an adaptable schedule that will require after-hours, weekends, and early mornings as needed 
  11. Travel to school facilities and meet with program leadership: athletic directors, and volunteer coaches to provide onsite training, and workshops and ensure program compliance with district requirements 
  12. Supervise assigned volunteers as needed (e.g., selection, training, coaching, performance management, accountability, etc.) to maintain adequate volunteer coverage and ensure accurate, timely, completion of program responsibilities and goals
  13. Maintain fiscal information, files, and records (e.g., accounts payable, accounts receivable, contracts, etc.), and monitor fund balances of assigned programs and related financial activity (e.g., stipend payments, etc. ) to ensure allocations are accurate, expenses are within budget limits, and fiscal practices are followed, and provide an up-to-date reference and audit trail for compliance
  14. Complete required documentation and process stipends and payments for athletic personnel, volunteers, and vendors, following district fiscal and accounting procedures, and Utah High School Activities Association (UHSAA) Athletic Coaches and Activity Sponsors Stipend guidelines 
  15. Research, resolve discrepancies, and respond to inquiries regarding payroll or AP (Accounts Payable) procedures, and provide information, and documentation to allow for accuracy and adherence to established fiscal guidelines
