Job Summary

The Department of Neurobiology seeks an experienced administrative assistant

to join our high-functioning and collaborative team. The Administrative Assistant is a

valued member of the Department’s Administrative Team; directly supporting the Department Chair, and upper-level department management.

Responsibilities

Applicants must demonstrate the potential ability to perform the essential functions of

the job as outlined in the position description.

Handles administrative matters regarding day-to-day operations and procedures of

the Department Administrative Office. The job includes

Administrative Support

  1. Provides administrative support to upper-level department management including

Department Chair, Director of Graduate Studies, Director of postdoctoral studies,

Chair of the Department Advisory Committee, and Director of Equity, diversity and

inclusion by scheduling appointments, coordinating meetings, taking minutes, and

coordinating and disseminating information.

  1. Coordinates department communications including the Department newsletter.

  2. Manages social media efforts and website support. .

  3. Provides logistical support for department events and maintains accurate and

detailed event records.

Office Support

  1. Provides general office support such as greeting and directing visitors, handling

incoming calls, and processing mail.

  1. Serves as “backup” to other administrative support staff in the Administrative

Office.

  1. Assists with data collection and compilation for the Department.

  2. May assist in developing College procedures as needed

Minimum Qualifications

Associate degree in business or equivalency (one year of education can be substituted for two years of related work experience) and three years full-time secretarial experience required. Demonstrated human relations and effective written and verbal communication skills required. Knowledge of basic bookkeeping practices and direct supervisory experience preferred.
