Description
We are offering a long term contract employment opportunity for an Executive Assistant in the non-profit industry, located in Saint Paul, Minnesota. This role involves a variety of responsibilities including coordinating activities, managing data, and maintaining effective communication channels.
Responsibilities:
• Manage and maintain accurate records regarding Diversion referrals and other relevant data.
• Coordinate logistics for various programs and events.
• Handle correspondence related to Diversion referrals and other programs.
• Collaborate with internal teams to plan and execute program orientations and trainings.
• Maintain and update contact information for all employees and consultants.
• Manage inventory and supply purchases, ensuring all necessary materials are available when needed.
• Oversee facilities and coordinate with vendors to ensure a welcoming and efficient workspace.
• Organize staff meetings, including scheduling, preparation and distribution of documents, room set up, and note taking.
• Register management and program teams for meticulous development and events, making travel arrangements as needed.
• Support the Board of Directors as instructed and authorized by the Executive Director.
Requirements
• Familiarity with Customer Relationship Management (CRM) software to maintain and update client records
• Proven experience in Calendar Management, ensuring smooth scheduling of meetings and appointments
• Excellent Communication skills, both written and verbal, for effective correspondence and interaction with stakeholders
• Experience in managing Conference Calls, coordinating multiple participants across various time zones
• Ability to handle Correspondence, including drafting emails and letters, managing incoming communications, etc.
• Strong knowledge of Microsoft Office Suites including Word, Excel, PowerPoint, and Outlook for various administrative tasks
• Experience in Data Entry, ensuring accurate and timely input of information into the system
