United States of America Chess Federation Administrative Assistant (Admin Assistant) in Saint Louis, Missouri
Position Overview: The Administrative Assistant is responsible for providing administrative support to the organization. This includes managing office operations, organizing files and records, setting up meetings, preparing documents, and providing general customer service. The Administrative Assistant should possess excellent organizational skills, be able to multitask and prioritize tasks, and have strong communication and interpersonal skills. The ideal candidate should also be proficient in Microsoft Office and other computer software programs. This position requires a high degree of accuracy and attention to detail to ensure tasks are completed in a timely and efficient manner.
Essential Job Functions:
Answer and direct phone calls
Organize and schedule meetings and appointments
Write and distribute email, correspondence memos, letters, faxes and forms
Assist in the preparation of regularly scheduled reports
Develop and maintain a filing system
Maintain contact lists
Book travel arrangements
Submit and reconcile expense reports
Provide general support to visitors
Assist members with creating/renewing/troubleshooting membership records.
Comfortable answering and researching member inquiries, using the most appropriate communication method.
General office duties related to processing mail, receiving deliveries, and welcoming visitors to the office.
Write and send acknowledgment letters to donors.
Other duties as assigned.
