FIRST STATE BANK -- JOB DESCRIPTION JOB TITLE: Credit Assistant STATUS: Non-Exempt DEPARTMENT: Credit Administration  REPORTS TO: Credit Manager PRIMARY PURPOSE OF THE JOB: This job will ensure compliance with monthly reporting requirements for formula-based lines of  credit (including calculation of the customer's borrowing base), facilitate the check-in and  assignment of Commercial Loan requests, and provide ongoing support to the operations of the  Credit Department.  ESSENTIAL DUTIES: • Maintain a tracking system for formula-based loans • Assemble and maintain the master, material commercial loan exception list • Supervise the processing of draws on commercial lines of credit, particularly those that  have a formula basis.  • Ensure that the bank's mainframe is updated to reflect current availability • Report to Officers' Loan Committee all out-of-formula lines and customers who are noncompliant with providing their monthly reporting • Maintain both physical and electronic archives of submitted materials and work-product • Produce data on the 12-month history of line usage and levels of accounts receivable for  each borrower • Check in new commercial loan requests, verifying that the packages are complete • Follow-up on incomplete packages with the commercial lenders, through email and  phone calls • Function as an Administrator to the department's Work-In-Process tracking report (WIP) • Assist with producing the agendas for Officers' Loan Committee and Directors' Loan  Committee, including uploading the relevant documents to Teams • Take minutes for the Officers' Loan Committee • Use DocuSign and other means to produce the official copies of approved loans  • Responsible for department filing, both physical and electronic • Run credit reports for department use in analyzing loan requests • Produce credit references for commercial loan customers • Maintain tickler system for financial statement reporting, including producing exception  reports and request letters. • Provide Commercial Loan Officers with Monthly Financial Statement Exception lists and  customer follow-up letters • Promptly process notices from Botdoc for the department. • Perform new loan audits on Commercial, Consumer, and Residential Loans • Prepare CITs for 90-day extensions • Assist with ordering environmental reports • Assist the Credit Manager with special projects, which may be of a confidential nature. • Provide widespread support to multiple people in Credit Administration.  • Create and maintain a courteous and professional relationship with co-workers while  maintaining timely and prompt daily attendance • Other duties as directed. REQUIRED EXPERIENCE/SKILLS: • 6 months to 2 years of similar related experience  • Time management, analytical, and organizational skills • Excellent communication skills (written and verbal) • Ability to handle various tasks simultaneously • Ability to work independently • Responsible for meeting timelines of production • Working knowledge of Microsoft Excel, Word, Outlook, and Teams • Loan administration experience preferred REQUIRED EDUCATION: • High school diploma or GED  PREFERRED EDUCATION: • Understanding of basic concepts in the fields of Finance and Accounting • Experience with Box, Botdoc, DocuSign, and WebEx preferred.
