Saginaw County Chamber of Commerce Part-Time Administrative Assistant in Saginaw, Michigan

Job Title: Administrative Assistant Reports to: President/CEO Job Location: Saginaw County Chamber of Commerce, 515 N. Washington Avenue, 3rd Floor Working Hours: Afternoons -- Noon to 4:00 p.m. or 12:30 to 4:30 p.m.

Job Description

Provide administrative and event support to Chamber staff and respond to inquiries from Chamber members and the public.

Knowledge and Skills Requirements
  • Use of office equipment (i.e.: copy machines, printers, calculator, phones) (Training provided)
  • Knowledge of Microsoft Word, Excel, Outlook, web browsers
  • Knowledge or ability to learn membership database software (Training provided)
  • General knowledge of Saginaw County and the Great Lakes Bay Region
  • Ability to work independently with minimal supervision
  • Ability to work in a team setting
  • Strong organizational, time management and project management skills, with the ability to prioritize
  • Must provide an outstanding, positive example of customer service, leadership and professionalism to Chamber members, staff, volunteers, and general public
  • Ability to travel independently to and from events
  • Ability to attend occasional early morning, evening and weekend meetings and events
Duties Include
  • Membership database management (including entering sponsorship sales and creating invoices, and entering new members)
  • Create and mail new member packets
  • Mailing dues invoices
  • Mail membership certificates and window clings when member dues are paid
  • Bank deposits
  • Board of Directors management
  • Answering phones
  • Greeting guests
  • Assistance with event registration, research, coordination with scheduling, and sponsor contact
  • Meeting and event set-up and breakdown assistance
  • Food ordering and pickup for events and meetings
  • Member support
  • Order office supplies
  • Create weekly staff agenda
  • Proof reading
  • Public calendar management
  • Kitchen maintenance
  • Any assistance where necessary
Key Responsibilities

Membership & Administrative Support

  • Maintain the membership database, including entering sponsorship sales, creating invoices, and adding new members
  • Prepare and mail new member packets, dues invoices, and membership certificates
  • Process bank deposits
  • Assist with Board of Directors management

Office & Event Coordination

  • Answer phone calls and welcome guests
  • Assist with event registration, research, scheduling coordination, and sponsor outreach
  • Support with meeting and event setup and breakdown
  • Coordinate food orders and pickup for meetings and events
  • Order office supplies and maintain the public calendar

General Office Duties

  • Create and distribute the weekly staff agenda
  • Proofread documents
  • Ensure kitchen maintenance and cleanliness
  • Provide general member support
  • Assist wherever necessary
