Position: Client Service/Office Associate (CONTRACT ROLE)

Location: 4177 FASHION SQUARE BLVD, STE 4, SAGINAW, Michigan, SAGINAW, 48603-5216, United States

Type: 100% ONSITE

Hourly Pay: $20-$23/hour

Required Years of Experience: 1-3 Years prior client coordination and office admin/assistant experience

Note: This role requires five days in the office (Mon-Fri) and will not support Hybrid or Remote options.

Job responsibilities:

  • Responsible for administrative support to a department or individual.

  • Duties include typing filing answering phones scheduling financial record keeping coordinating meetings and conferences obtaining supplies and sorting/distributing mail.

  • May work on special projects. Must be able to multi-task and prioritize.

  • Strong communication skills and organizational skills are required.

  • Familiarity with MS Office required.

  • Process high volume of T& E expense claims for team members, ensuring all policies are followed and items are processed within provided guidelines

  • Support team members with calendar management as requested

  • Screen incoming calls and determine the level of priority, while using caution in dispensing information

  • Manage the coordination and logistics of both internal and external meetings

  • Organize all aspects of internal and external events, including catering and transportation

  • Produce high quality emails and messages to individuals at all levels of the organization

  • Maintain department documents

  • Handle regular activities without prompting, and advise in advance with issues or delays

  • Assist in editing spreadsheets and presentations, including printing and binding, for client meetings

    Requirements

Required Qualifications:

  • Proficiency with MS Office 365 and Google Suite

  • At least 1-3 years of administrative experience

  • Tact and good judgment in confidential situations, and proven experience interacting with senior management

  • Strong interpersonal, written, and oral communication skills

  • Excellent telephone etiquette and ability to manage competing priorities

  • High degree of motivation, initiative, sense of urgency and professional demeanor

  • Ownership approach to all tasks; initiative and confidence to complete projects with limited supervision

  • Ability to multi-task, prioritize and organize

  • Strong attention to detail and focus on accuracy

  • Motivated by a collaborative environment and willing to go the extra mile

  • Strong PC skills (proficient knowledge of MS Outlook, Word, Excel, and PowerPoint)

  • Effective interpersonal skills
